Position Description:
As a Virtual Personal Assistant at Rivman Industrial, you will work remotely to provide high-level administrative support to our management team. You will be responsible for managing calendars, scheduling meetings, and handling a variety of administrative tasks to ensure the smooth and efficient operation of our company.
Key Responsibilities:
- Manage and maintain executive calendars, scheduling appointments and meetings, and reminding them of upcoming commitments
- Monitor email and phone calls, responding to or directing them to the appropriate team members as needed
- Prepare and organize documents, presentations, and reports for meetings and other important events
- Arrange travel itineraries, including flights, accommodations, and transportation
- Conduct research and compile data as needed for various projects and initiatives
- Assist with HR tasks such as onboarding new employees, maintaining employee records, and coordinating team events
- Handle confidential and sensitive information with professionalism and discretion
- Coordinate with other team members to ensure deadlines are met and tasks are completed in a timely manner
- Liaise with clients, vendors, and other stakeholders as needed
Qualifications:
- High school diploma or equivalent; Bachelor's degree preferred
- Proven experience as a Virtual Personal Assistant or similar role
- Excellent communication and interpersonal skills
- Strong organizational and time management abilities
- Proficient in Microsoft Office and virtual meeting tools such as Zoom or Skype
- A keen eye for detail and the ability to multitask
- Ability to maintain confidentiality and handle sensitive information
- Flexible and adaptable with the ability to work collaboratively in a fast-paced environment
- Previous experience in a corporate or industrial setting is a plus
