Role OverviewWe are looking for a highly organized, proactive, and extremely responsive Virtual Assistant / Executive Assistant to support our CEO, with a strong focus on managing travel for our US-based managers, in a fast-paced, global environment. The most important part of this role is travel coordination / management (e.g., booking and updating flights, arranging accommodation, and organizing pick-ups). This role is ideal for someone who thrives in high-pressure situations, enjoys managing complex schedules, and can handle travel and meeting coordination with strong attention to detail.
This is a remote contractor/freelancer role requiring availability aligned with Eastern Time (ET) and the UK Time Zone.
Key ResponsibilitiesCalendar management: Manage and optimize the CEO’s calendar across multiple time zones (ET/UK), including prioritization, scheduling, rescheduling, and conflict resolution
Travel coordination / management (most important part of the role): Book and update flights, arrange accommodation, and organize pick-ups/transfers for the CEO; ideally also manage travel for all US-based managers, who travel frequently, including itineraries and last-minute changes
Coordinate internal and external meetings with executives, partners, and customers
Organize and manage executive travel (flights, hotels, transfers, itineraries, last-minute changes)
Handle inbox/email support, including professional drafting and follow-ups
Support communication and coordination via Slack, WhatsApp, email, and calls
Assist with expense tracking, receipts, and basic administrative support
Handle urgent requests quickly and efficiently with strong attention to detail
Proven experience supporting senior executives as a Virtual Assistant / Executive Assistant
Strong experience with calendar management and scheduling across time zones
Strong experience in executive travel coordination (international travel preferred); experience managing travel for multiple executives at once
Excellent written and verbal communication skills in English
Highly responsive, reliable, and able to manage urgent last-minute changes
Strong organizational skills with close attention to detail
Availability aligned with Eastern Time Zone (ET) and/or UK Time Zone

Compensation: $1,500 - $2,000 monthly salary.
