Job Description:
Temporary - Resource Coordinator / Scheduling Coordinator – 6 Month Contract
We are seeking a skilled temporary/contractor to serve as a Resource Coordinator / Scheduling Coordinator for a 6-month assignment. This high-visibility role requires the ability to interact effectively with executives and staff at all levels across multiple geographic locations. The individual will support resource management activities within our Consulting business unit, ensuring optimal scheduling and utilization of our professionals to meet client and business needs.
Key Responsibilities
- Scheduling:
- Maintain an up-to-date consulting staff schedule, including allocation, conflict resolution, and alignment with career goals.
- Enter open client needs and scheduled time into the Retain staffing database.
- Monitor utilization levels and adjust schedules to optimize productivity while balancing business and client priorities.
- Resource Management:
- Resolve scheduling conflicts and escalate to management as necessary.
- Collaborate with leaders to ensure staffing meets both operational needs and professional development goals.
- Track, analyze, and report on productivity versus scheduled time.
- Coordination & Communication:
- Serve as the primary point of contact for assigned personnel regarding scheduling matters.
- Meet or coordinate with new hires to explain and demonstrate the scheduling process.
- Reporting & Analysis:
- Produce ad hoc reports and utilization analyses.
- Conduct headcount analysis and assess resource needs.
- Review variances in forecasted versus actual productivity with management.
Qualifications
- Bachelor’s degree preferred, but not required.
- Minimum 3 years of experience in a scheduling, staffing, or client service role within public accounting, consulting, or other professional services.
- Strong communication skills with the ability to manage complex, and sometimes difficult, conversations.
- Proven ability to build relationships and deliver high-quality customer service across an organization.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Proficiency with Microsoft Office (including advanced Excel functions like v-lookups and pivots) and familiarity with web-based scheduling platforms (Retain experience preferred).
- General understanding of financial services terminology is a plus.
Engagement Details
- Contract Term: 6 months (with potential for extension based on business needs)
- Engagement Type: Fixed term length
- Schedule: Full-time hours, Monday–Friday, with flexibility to meet project deadlines
