We are seeking a highly organized and proactive Temporary Part-Time Office Administrator (On-Site) to support our U.S. office operations. This role is critical in ensuring smooth day-to-day functioning of the office, coordinating events, and assisting with a variety of administrative tasks. The ideal candidate will be detail-oriented, resourceful, and able to manage multiple responsibilities independently.

Key Responsibilities
- Events Coordination : Support planning, catering, logistics, and onsite coordination for team events and meetings
- Office Supplies, Snacks & Beverages : Manage inventory, ordering, and restocking
- Facilities & Property Support : Assist with building-related needs, maintenance coordination, safety & compliance coordination, and workspace organization
- Mail & Shipping Services : Handle incoming/outgoing mail, packages, and shipping requests
- Swag & Storage Management : Track, organize, and distribute company-branded items and promotional materials
- Administrative Assistance : Provide support with training registrations, travel arrangements, scheduling, and general admin tasks
- Visitor Management & Meeting Support : Welcome guests, set up meeting rooms, and ensure smooth visitor experiences
- Vendor Coordination : Liaise with vendors for services such as catering, office maintenance, and supplies
- Reception & Package Receipt : Serve as a point of contact for deliveries and reception duties
Qualifications
- Prior experience in office administration, facilities, or event coordination preferred.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite, Google Workspace, or similar tools.
- Ability to work independently and manage priorities within a part-time schedule.
Nice to Have
- Experience with vendor management or budget tracking
- Basic knowledge of HR support, onboarding coordination, or travel booking tools
- Event planning experience for company or community events
- AI tools knowledge
