About the role

Nift is a 50-person, cash-flow-positive company scaling fast — and over the next stretch of growth we'll make hundreds of hires. Doing that well doesn't happen by accident. It takes a recruiting machine: the systems, the processes, and the operational rigor that make great hiring repeatable instead of heroic.

This role builds that machine. Partnering directly with the Talent Acquisition Lead, you'll be the operational backbone of recruiting — the person who turns a vision for how hiring should work into the processes, data discipline, and Greenhouse rigor that make it real and hold up across the next 200–300 hires.

This is an operational stronghold, not a scheduling seat. We're looking for someone who runs the day-to-day flawlessly, sees how it could run better, and wants to be the one to build it.

What you'll do

Build the machine

  • Partner with the Talent Acquisition Lead to design and stand up the processes, workflows, and standards that scale recruiting from 50 people to hundreds
  • Bring a point of view: find where the process breaks, slows, or could be sharper — and build the fix
  • Establish the operational rigor and documentation that make great hiring repeatable, not dependent on any one person

Own Greenhouse

  • Own Greenhouse as the system of record — configuration, structure, hygiene, and discipline
  • Keep data clean, current, and trustworthy, so every report and decision rests on solid ground
  • Pull weekly, monthly, and quarterly reporting on KPIs and OKRs, and surface the trends that matter

Run the operation

  • Drive coordination across the full recruiting pipeline — every department, every stage — keeping searches moving and on standard
  • Coordinate interviews across hiring managers, panels, and candidates with zero dropped threads
  • Prioritize searches against benchmarks and metrics to meet business goals
  • Protect a candidate experience that reflects how seriously we take our people, start to finish

Support sourcing

  • Pitch in on company research, sourcing, and initial candidate outreach using LinkedIn, and other tools when searches need the lift
What you'll have
  • 3–5 years in talent acquisition operations or coordination, with strong project management instincts
  • Deep, hands-on Greenhouse experience — you've owned an ATS, not just worked inside one
  • A builder's mindset: you don't just run a process, you see how to improve it and you make it happen
  • Real data fluency — you can pull, structure, and read recruiting metrics, and yes, you love a good spreadsheet
  • Outstanding organization, relentless follow-up, and genuine attention to detail
  • Strong written and verbal communication, and the judgment to partner well with senior stakeholders
