The State Incentive Coordinator II manages the state incentive submission process for organic and channel partner projects, ensuring timely submissions and approvals. This role tracks outstanding items, communicates with state administrators to minimize delays, and maintains accurate records in the CRM. The coordinator supports all submission channels and collaborates with the team to meet goals while providing excellent support to internal teams, customers, and state agencies.

Essential Job Functions

  • Collaborate with the team to achieve daily, weekly, and monthly performance goals.
  • Manage timely submission and approval of state incentives for both organic and channel partner projects.
  • Prepare, organize, and track outstanding documentation required for incentive approvals.
  • Monitor project progress and proactively follow up with state program administrators to reduce cycle times.
  • Maintain up-to-date knowledge of market-specific state incentive requirements and share updates with the team.
  • Accurately upload and manage all outgoing and incoming documents in the CRM system.
  • Respond promptly to inquiries from internal teams, customers, and state program administrators via phone and email.
  • Log detailed updates in the CRM at each stage of the incentive process.
  • Facilitate all state incentive submissions and receipts across multiple channels, including calls, mail, email, and online portals.
  • Investigate and resolve issues related to state incentive submissions efficiently and professionally.
  • Other duties as assigned by leadership.

Qualifications & Requirements

  • High school diploma or GED required
  • 1-2+ years of experience in solar operations, REC registration, or incentive program workflows
  • Familiarity with at least one REC registry (e.g., GATS, M-RETS, WREGIS)
  • High attention to detail with the ability to manage repetitive, accuracy-driven tasks
  • Familiar with Salesforce, Excel, Locus, or equivalent tools
  • Proficient in Adobe Acrobat Pro for document editing and management
  • Strong proficiency with Google Workspace (Gmail, Drive, Docs, Sheets)
  • Excellent verbal and written communication skills
  • Strong organizational and written communication skills
  • Willing to move through the pre-employment screening process

Physical Demands

The physical requirements outlined are essential for performing the core duties of this role.

  • Primary responsibilities involve regular speaking, listening, standing, walking, using hands to handle or feel objects, and reaching with arms.
  • Occasionally, the role may require sitting, climbing, balancing, stooping, kneeling, crouching, or crawling. Employees must be able to frequently lift and move objects weighing up to 10 pounds and occasionally up to 40 pounds.
  • Vision requirements include the ability to focus at close and long distances, distinguish colors, maintain peripheral awareness, perceive depth, and make precise focus adjustments.
