We have an exciting opportunity for a Senior Operations Associate! The Sr. Operations Associate supports the accurate and timely execution of advisory billing operations, with primary ownership of fee rejection management, collections, fee refunds, and reconciliations. The position also provides cross-functional billing support, subject matter expertise, reporting assistance, and business continuity coverage across core billing activities.

 

This is a Remote position.

 

In the spirit of pay transparency, we are excited to share the base salary range for this position is $55,000 to $65,000, exclusive of bonuses and benefits. Primary Job Functions

Primary Responsibilities

  • Manage fee rejections from identification through resolution, including research, follow-up, collection tracking, and documentation of outcomes.
  • Process advisory fee refunds accurately and timely, including validation of supporting information and coordination with appropriate internal partners.
  • Complete reconciliations, investigate discrepancies, and support the resolution of outstanding reconciling items.
  • Prepare and complete accounts receivable uploads, verifying data for completeness and accuracy prior to submission.
  • Support referral billing submissions and other miscellaneous billing functions, including issue resolution and recurring operational activities.

Secondary Responsibilities

  • Provide cross-coverage for one-off fee submissions across custodians and follow applicable billing controls and documentation requirements.
  • Serve as a team resource and subject matter expert for billing processes, questions, and issue resolution.
  • Support dashboards and reporting by assisting with data validation, exception follow-up, and recurring operational reporting needs.
  • Maintain business continuity and operational coverage across core billing functions through cross-training, procedure maintenance, and backup support.
  • Other projects and activities as needed

 

Education/Qualifications

  • High school diploma or equivalent required; post-secondary education preferred
  • Five years of financial services experience required, preferably in an RIA or broker-dealer environment
  • Experience with portfolio accounting or management systems, preferably Orion, and CRM systems such as Salesforce
  • Orion billing experience preferred
  • Proficiency with Microsoft Office; advanced Excel skills required
  • Securities and/or insurance licenses a plus
  • Strong verbal and written communication skills
  • Ability to work independently and collaboratively within a team
  • Strong analytical, problem-solving, and attention-to-detail skills
  • Ability to adapt to changing processes and procedures while incorporating new requirements into standard workflows
  • Demonstrated ability to effectively use AI tools and technologies in daily work tasks.
  • Requirements include understanding how to craft effective prompts, evaluate AI-generated content for accuracy and appropriateness, and integrate AI tools to enhance productivity while maintaining quality standards.
  • Comfort with learning new AI applications and understanding their appropriate use cases and limitations.
  • As AI technology evolves, continued learning and adaptation to new AI tools and methodologies will be expected.

 

WEG hires employees and makes decisions about their salary qualifications based on factors such as the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state, pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified as this level is $58,300 - $81,600. However, the base salary range bolded above ($55,000 to $65,000) is what we expect to pay as a starting range for this position.
