Job Description

The Site Admin Operations Specialist serves as a key role supporting the efficient admin processes operation of the Lone Tree site. This role coordinates critical administrative, operational, financial, workplace, and employee-support processes across Production, Field Operations, Maintenance, Distribution, HSE, and Quality functions. The position is responsible for procurement administration, payroll reconciliation, workplace services, vendor coordination, records management, training administration/support, and employee engagement activities. Acting as a central point of coordination, the Site Operations Specialist enables operational excellence, compliance, and a positive employee experience while supporting execution of site priorities and business objectives.

Accountabilities: 

  • Provide comprehensive administrative and operational support across Production, Field Operations, Maintenance, Distribution, HSE, Quality, and other site functions.
  • Coordinate site meetings, training programs, communications, reporting activities, and special projects to support business objectives.
  • Manage and maintain site documentation, records, filing systems, and the master calendar to ensure organization, compliance, and operational efficiency.
  • Process purchase requisitions, purchase orders, invoices, vendor requests, and financial transactions in accordance with company policies and procedures.
  • Support grower contract administration, payment processing, invoicing, and seasonal field operations activities.
  • Own hourly payroll reconciliation processes, investigate discrepancies, and maintain accurate payroll records to ensure timely and compliant payroll administration.
  • Coordinate employee training, safety programs, compliance tracking, PPE initiatives, and regulatory documentation to support Health, Safety, and Environmental requirements.
  • Manage workplace services, vendor relationships, office resources, and facility operations to maintain a safe, efficient, and professional work environment.
  • Foster positive employee and stakeholder experiences by coordinating site events, supporting onboarding activities, enhancing employee engagement, and driving continuous process improvements.

Qualifications

  • High school diploma
  • 3+ years of experience in administrative coordination, operations support, office management, or business operations.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Strong organizational, planning, and record-management skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong communication and customer-service skills.

Desired Qualifications: 

  • Experience with SAP, SAP Ariba, or related enterprise systems. Associate degree or equivalent experience in Business Administration, Operations, Finance, or a related field.
  • Experience supporting procurement, payroll, accounts payable, or operational business processes.
  • Experience working within manufacturing, agriculture, production, supply chain, or industrial environments.
