Position: Senior Project Coordinator (IT)

About the Role
We're looking for a Project Manager/Project Coordinator to help with the planning, scheduling, and delivery of client-facing IT projects — new client onboardings, network migrations, server and cloud deployments, security implementations, M&A-related IT integrations, and infrastructure upgrades. You'll be the connective tissue between sales, engineering, and the client, keeping projects on time, on budget, and on scope while our technical teams focus on the work itself.
This role suits someone who thrives on organization, isn't afraid to chase down answers, and can translate technical work into clear timelines and status updates for non-technical stakeholders.
Key Responsibilities

  • Manage a portfolio of concurrent client projects from kickoff through closeout, including new client onboardings, migrations, deployments, upgrades, and technology rollouts
  • Lead new client onboarding: gathering network documentation, setting up monitoring/RMM, coordinating credential handoff, and ensuring a smooth transition into ongoing managed services
  • Build and maintain project plans, timelines, resource schedules, and budgets using the PSA/PM tool stack (e.g., ConnectWise, Monday.com or similar)
  • Coordinate scheduling between engineers, technicians, vendors, and client stakeholders to keep work moving without overloading technical staff
  • Serve as the primary point of contact for clients during active projects — running status calls, sending updates, and managing expectations
  • Track project scope, flag scope creep, and manage change orders in coordination with account managers/sales
  • Procure and track hardware/software orders and licensing needed for project delivery
  • Identify risks, blockers, and resource conflicts early and escalate appropriately
  • Maintain accurate project documentation: SOWs, project plans, runbooks, and post-project documentation for the service desk
  • Support project profitability by monitoring hours against budget and flagging overages
  • Facilitate smooth handoff from project delivery to ongoing managed services/support teams
  • Contribute to continuous improvement of project management templates, processes, and tools
Required Qualifications
  • 2+ years of experience in project coordination or project management, ideally within an MSP, IT services, or technology environment
  • Familiarity with IT infrastructure concepts (networking, servers, cloud platforms like Azure/M365, endpoints, backup/DR) — you don't need to be the engineer, but you need to speak the language
  • Strong organizational skills and comfort managing multiple projects/clients simultaneously
  • Excellent written and verbal communication skills, with the ability to translate technical detail for non-technical audiences
  • Experience with PSA tools and/or PM tools (ConnectWise, Smartsheet, MS Project, Monday.com, Asana)
  • Strong Excel/spreadsheet skills for budget and resource tracking
Preferred Qualifications
  • Familiarity with ConnectWise (PSA/Manage) is a strong plus
  • PMP, CAPM, or similar project management certification
  • Experience managing technology migrations (server, cloud, M365 tenant-to-tenant, network cutovers)
  • Prior experience in a client-facing or account management capacity
  • Familiarity with ITIL concepts and change management processes
