What You'll DoAs an Executive Assistant, you are mission control for your team’s business operations and keep your team moving forward. You anticipate the needs of your team and help them stay focused by resolving operational and administrative issues before they arise. You move quickly while using your knowledge of Mapbox and the landscape to support your team’s work. In addition to being organized and analytical, you possess strong business judgment and communication skills.
We are looking for a highly proactive, detail-oriented, and strategic Senior Executive Assistant to support our SVP of Engineering, Product & Design. In this critical role, you’ll be more than just an organizer—you’ll be a strategic partner and operational backbone to one of the most cross-functional and fast-paced areas of the company.
This role requires someone who thrives in ambiguity, moves with urgency, and can build strong, trusting relationships with internal and external stakeholders. You’ll support not just the SVP, but the smooth functioning of the broader Eng, Product & Design leadership team.
Calendar & Priority Management: Own and manage a dynamic, high-volume calendar across global time zones(Asia, Europe, US). Anticipate needs, triage meeting requests based on strategic priorities, and ensure time is allocated effectively for decision-making, team management, and external engagement. Drive success by creating space to get focused work done and design a schedule that aligns contexts to help build momentum.
Meeting Prep & Follow Up: Assist in preparing agendas and briefing materials, capture notes, track outcomes for 1:1s, leadership meetings, all-hands and external engagements. Researching and collecting information for executives on upcoming meetings and events.
Logistics & Travel: Coordinate complex travel arrangements (domestic and international) and logistics, ensuring all details are handled end-to-end. Manage vendors, expenses, and purchase approvals for the executives and their teams.
Culture & Team Engagement: Contribute to your executive leadership meetings, offsites, team events, onboarding coordination and initiatives that drive belonging, transparency, and team health by coordinating agendas, gathering pre-read materials, taking notes, and tracking action items.
Project Support: Partner with your executive to track org-wide initiatives, hiring pipelines, quarterly planning milestones, key deliverables and progress against goals while establishing new—and improving existing—administrative systems and processes. Assist with ad hoc projects requiring a process-oriented mindset and solid documentation.
Communication: Draft high-quality communications on behalf of the SVP and maintain professionalism and discretion in all interactions.
Cross-Functional Coordination: Serve as a liaison between the SVP and internal teams (Engineering, Product, Design, People, Finance, etc.). Ensure tight alignment and follow-through on action items.

5+ years of professional experience supporting senior-level executives in a fast-paced, technical, or high-growth environment.
Experience supporting executives in Engineering, Product, or Design orgs is strongly preferred.
Exceptional calendar and time management skills, with the ability to manage shifting priorities calmly and efficiently.
Ability to build strong working relationships across all levels of the organization.
Excel at working across time zones and with international stakeholders.
Proactive and positive with changing priorities: You’re able to anticipate and respond to needs before they arise, quickly shift tasks and priorities, and stay organized to keep an eye on our larger values and goals while optimizing processes to be more efficient.
Clear, concise, direct communicator. You communicate, perform, and react well under pressure or ambiguity. You’re able to extract the nuances in communication to figure out what's important, what's not – and when to stop and clarify, or just move forward independently. You can easily interface with various stakeholders to help move things forward in various contexts and are adept at handling sensitive information and situations with care and confidence.
Proven stamina in a fast-growing startup or venture capital firm. You have a personal framework for triaging information, tasks, and projects – and know how to jump in and organize chaos with minimal direction. You’re incredibly organized, with superb attention to detail, and a strong ability to execute
High emotional intelligence and discretion—you understand the dynamics of a leadership team and know how to maintain confidentiality.
Proficiency in tools such as Google Workspace, Slack, Zoom, Notion, and calendar management platforms.

Our annual base compensation for this role ranges from $153,000 - $207,000 for most US locations and 5% to 10% higher for US locations with a higher cost of labor. Job level and actual compensation will be decided based on factors including, but not limited to, individual qualifications objectively assessed during the interview process (including skills and prior relevant experience, potential impact, and scope of role), market demands, and specific work location.
