What you will do:  

The Senior Administrative Assistant provides high-level administrative support to senior executives by managing schedules, coordinating meetings, handling confidential information, and serving as a key liaison between executives and internal/external stakeholders. This role requires discretion, strong organizational skills, and the ability to multitask in a fast-paced environment. 

Responsibilities include:

  • Effectively provide leadership and direction to the Workplace Administrator, ensuring effective prioritization of duties.  
  • Partner with the Executive Assistant and assist with day-to-day operations. 
  • Occasionally provide support at the Front Desk. 
  • Manage projects, ensuring deadlines and deliverables are met with minimal supervision. 
  • Coordinate logistics for high-level internal and external stakeholder meetings. 
  • Assist with travel arrangements, expense reports, and heavy calendar management. 
  • Support internal communications and document preparation. 
  • Maintain organized digital filing systems. 
  • Serve as a point of contact for internal and external stakeholders with professionalism and a proactive mindset. 
  • Track milestones, coordinate team input, and report on progress. 
  • Recommend and implement improvements to streamline administrative processes. 
  • Maintain documentation and ensure team compliance. 
  • Make decisions on logistics, vendors, and communications. 
  • Occasionally requires work outside of standard business hours. 
  • Read, understand, and comply with all workplace health and safety policies, safe work practices, and company policies and procedures. 
  • Perform other duties as assigned. 

What we need you to bring to the team:  

  • Bachelor’s degree in business administration, or a related field (preferred) or equivalent combination of education and experience. 
  • 8+ years of administrative experience working with an executive team, preferably in a fast-paced, operations-focused environment.  
  • Previous travel and event planning experience. 
  • Familiarity with project management tools (e.g., Asana, Trello, or similar). 
  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously. 
  • Excellent written and verbal communication skills. 
  • High attention to detail and accuracy. 
  • Strong service orientation and interpersonal skills are important. 
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint). 
  • Willingness and ability to learn and use new tools, systems, and processes. 
  • Ability to work independently and collaboratively. 
  • Ability to be onsite in the office full-time.


Compensation:   

  • The anticipated starting pay range for this position is $90,000-$100,000 a year and may be more or less depending upon skills, experience, and education.
