As a Sales Operations Analyst, you will partner closely with the Sales Operations Director to execute and optimize the operational processes, systems, and reporting that support Vanteo's Sales and Marketing organization. You will be responsible for the day-to-day administration of our CRM platform, sales reporting, data governance, automation, and operational initiatives that enable our sales teams to operate efficiently, make data-driven decisions, and scale for continued growth.

This role plays a critical part in supporting Sales, Marketing, Finance, Technology, Customer Success, and other cross-functional teams by maintaining the integrity of our CRM, delivering meaningful business insights, improving operational processes, and executing strategic Sales Operations initiatives. This position is ideal for an analytical, process-oriented professional who enjoys solving business problems through technology, data, and continuous improvement and is looking to build a long-term career in Sales Operations and Revenue Operations.

Key Responsibilities:

  • Administer and maintain the organization's CRM platform (HubSpot), ensuring data accuracy, system reliability, and user adoption.

  • Create, configure, and maintain CRM properties, pipelines, workflows, custom objects, forms, and automation to support evolving business needs.

  • Build, maintain, and enhance dashboards, reports, and operational metrics that provide actionable insights to Sales leadership.

  • Produce recurring sales performance reports, pipeline analytics, forecasting support, activity reporting, KPI tracking, and other business intelligence reporting.

  • Maintain high standards of CRM data integrity through audits, data cleansing, duplicate management, imports, exports, and ongoing record maintenance.

  • Support lead routing, territory management, commission administration, forecasting activities, and other recurring sales operations processes.

  • Troubleshoot CRM issues, investigate user questions, and provide timely operational support to sales and cross-functional teams.

  • Build and maintain workflows and automation that improve operational efficiency, reduce manual effort, and enhance user experience.

  • Identify opportunities to streamline business processes through automation, technology, and continuous process improvement.

  • Test new CRM functionality, automation, and operational processes prior to deployment, ensuring quality and accuracy.

  • Develop and maintain process documentation, standard operating procedures, and operational best practices.

  • Partner closely with Sales, Marketing, Finance, Technology, Customer Success, and other stakeholders to support operational initiatives and business objectives.

  • Assist in translating business requirements into scalable CRM solutions, reporting, and operational processes.

  • Contribute to cross-functional projects that improve reporting, automation, operational efficiency, data quality, and overall sales effectiveness.

Qualifications:

  • Bachelor's degree in Business, Operations, Analytics, Information Systems, or a related field preferred.

  • 3-5 years of experience in Sales Operations, Revenue Operations, CRM Administration, Business Operations, Business Analysis, or a related operational role.

  • Experience administering CRM platforms such as HubSpot, Salesforce, Microsoft Dynamics, or similar systems.

  • Advanced proficiency with Microsoft Excel, including data analysis, formulas, and reporting.

  • Experience creating dashboards and reports using CRM reporting tools or business intelligence platforms.

  • Strong analytical and problem-solving skills with exceptional attention to detail.

  • Excellent organizational, communication, and project management skills.

  • Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.

  • Maintain high standards of CRM data quality and governance.

  • Independently manage recurring reporting, dashboards, and operational processes.

  • Successfully support cross-functional operational initiatives and automation projects.

  • Contribute ideas that improve efficiency, scalability, and the overall effectiveness of the Sales Operations function.

  • Develop the knowledge and expertise to take ownership of key operational processes while partnering closely with the Sales Operations Director on strategic initiatives.
