Job Title: Referral Coordinator

Job Summary

The Referral Coordinator is responsible for managing and processing incoming patient referrals through multiple referral platforms, including Fibro/eHealthy, LeadingReach, and Phreesia. This role ensures that referrals are accurately received, accepted, processed, scheduled, and closed while following established scheduling protocols and provider preference guidelines.

The Referral Coordinator works within the NextGen EMR system to schedule appointments, update patient records, verify insurance information, and communicate with internal staff. Based on call center volume, this position may also assist with inbound patient calls.

Essential Job Functions
  • Process incoming referrals from Fibro/eHealthy, LeadingReach, and Phreesia platforms.

  • Receive, review, accept, process, schedule, and close referrals accurately and efficiently.

  • Schedule patient appointments within the NextGen EMR system according to provider preferences and scheduling guidelines.

  • Enter and verify patient demographics and insurance information in the NextGen EMR system.

  • Communicate internally by sending messages and tasks through the NextGen EMR system.

  • Maintain professionalism and excellent customer service when interacting with patients.

  • Follow established scheduling protocols to ensure patients are scheduled appropriately.

  • Assist with inbound phone calls during periods of high call volume.

QualificationsMinimum Requirements
  • High School Diploma or equivalent required

  • Previous call center or referral scheduling experience preferred

  • Basic computer and EMR navigation skills

  • Strong attention to detail and accuracy

  • Excellent communication and customer service skills

  • Ability to multitask and manage high referral volume

  • Strong organizational and time management skills

  • Ability to learn multiple referral and scheduling platforms

  • Light lifting may be required
