Position Title: Recruitment Coordinator
Position Location: Remote – work virtually from anywhere in the United States
JOB SUMMARY
The Recruitment Coordinator will support full-cycle recruiting for a wide range of Building Automation Systems (BAS) and controls-related technical and project-based roles, including controls engineers, BAS technicians/programmers, commissioning specialists, HVAC controls specialists, field technicians, and electricians.
As a member of the HR Team, the Recruitment Coordinator will partner closely with hiring managers and recruiters to understand role requirements, assist with sourcing and screening candidates, coordinate interviews, and ensure a seamless and professional candidate experience through onboarding.
This is an excellent opportunity for someone with a strong foundation in talent acquisition who is interested in supporting hiring within smart buildings, HVAC controls, and building systems environments.
The Recruitment Coordinator will receive general instructions on routine work and detailed instructions on new assignments. This role will primarily support recruiting processes and coordination efforts, while exercising sound judgment and attention to detail. May work independently on assigned tasks or under guidance on more complex activities.
This person will communicate and operate in line with organizational goals and values, as well as departmental objectives.
ESSENTIAL FUNCTIONS
Recruiting Coordination & Support (80%)
- Support full-cycle recruitment for multiple active job requisitions, including resume review, candidate pre-screening, and interview coordination.
- Coordinate and schedule interviews across multiple stakeholders, including hiring managers, technical teams, and candidates.
- Manage high-volume recruitment communications, ensuring timely follow-up and a strong candidate experience.
- Draft and send offer letters, benefit summaries, and initiate background checks and pre-employment screenings.
- Maintain accurate candidate data in the applicant tracking system (ATS) and internal records.
- Track and collect interviewer feedback, ensuring timely communication with hiring teams.
- Assist in maintaining and organizing job descriptions specific to BAS and controls roles.
- Support candidate sourcing efforts for specialized roles within building automation and controls environments.
- Provide a professional and engaging candidate experience throughout the hiring lifecycle.
Onboarding & Training Support (10%)
- Coordinate and facilitate onboarding processes for new hires, ensuring a smooth transition from candidate to employee.
- Prepare and distribute onboarding materials, including new hire documentation, policies, and system access instructions.
- Partner with HR and hiring managers to schedule onboarding sessions and initial training activities.
- Track onboarding progress and ensure completion of required documentation and compliance requirements.
- Support coordination of training programs related to BAS, controls systems, and company processes.
- Assist in maintaining onboarding and training documentation, ensuring materials are current and aligned with organizational standards.
Human Resources Support (10%)
- Maintain and update recruiting and HR templates.
- Support employee engagement initiatives.
- Assist with documenting and improving HR and recruiting processes, with a focus on efficiency and automation.
- Provide general HR support as needed, including special projects, research, and administrative tasks.
Completion of Assigned Tasks and Deliverables on Time and on Budget
Performs other related duties as assigned.
POSITION REQUIREMENTS (INTERMEDIATE LEVEL FOR ALL THE FOLLOWING UNLESS OTHERWISE NOTED)
- Knowledge of human resource processes and best practices
- Intermediate skills using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams), along with strong organizational and file management skills
- Experience using HRIS and ATS platforms (Rippling, ADP Workforce Now; Zoho Recruit preferred)
- Skill in completing assignments accurately and with attention to detail
- Ability to leverage technology and automation tools to improve recruiting workflows
- Experience supporting high-volume recruiting for technical or field-based roles
- Organizational skills with the ability to manage multiple priorities simultaneously
- Ability to quickly learn technical terminology related to building automation systems, controls, and HVAC systems
- Ability to leverage AI and emerging technologies to streamline workflows and improve efficiency
- Ability to work successfully in a remote environment through effective communication, self-motivation, and organization
- Ability to maintain confidentiality
- Strong interpersonal skills, including active listening, empathy, and professionalism
- Ability to evaluate candidate qualifications, including both technical and soft skills
- Ability to build and maintain collaborative relationships with internal teams and external candidates

TRAVEL / RELOCATION REQUIREMENTS

EDUCATION / EXPERIENCE REQUIREMENTS
- Bachelor’s degree in Human Resources, Business, or a related field
OR
- A recognized HR certification such as PHR, SPHR, SHRM-CP, or SHRM-SCP
OR
- Equivalent professional recruiting experience
- Minimum of 3 years of Recruiting / Human Resource experience
