Job Summary

We’re looking for a proactive and highly organized Recruiting Coordinator to join our fast-moving Talent Team. You’ll play a critical role in ensuring a seamless candidate experience and supporting our recruiters and hiring managers across all stages of the recruiting process.

Key Responsibilities

  • Interview Scheduling: Coordinate and confirm interviews across time zones for candidates and interviewers, managing calendars with precision and flexibility.

  • Candidate Experience: Serve as the first point of contact for candidates, providing clear communication, timely updates, and a white-glove experience throughout the process.

  • ATS Management Support: Partner with recruiters to maintain and update candidate records in our Applicant Tracking System (ATS), ensuring data cleanliness and process consistency.

  • Operational Support: Partner with recruiters and hiring managers to move candidates through the pipeline efficiently—prepare interview packets, collect feedback, and track hiring milestones.

  • Offer Coordination: Support the preparation and delivery of offer letters and pre-employment logistics, including background checks and onboarding kickoff.

  • Process Optimization: Help document and improve recruiting processes, templates, and workflows to keep our hiring engine running smoothly.

  • Special Projects: Assist with recruitment marketing, sourcing support, DEI initiatives, and event coordination as needed.

What We’re Looking For

  • 1+ years of experience in recruiting coordination, HR coordination, or administrative support (tech/startup/defense industry experience a plus)

  • Excellent organizational skills and attention to detail

  • Clear and professional written and verbal communication

  • Comfortable working with scheduling tools, ATS platforms (we use Ashby), and Microsoft Office

  • Thrive in a fast-paced environment and able to pivot quickly

  • Passion for creating a great candidate and hiring team experience

  • Interest in defense tech and/or mission-driven work is a bonus

  • Qualified candidates must have the ability to obtain a security clearance. This requires U.S. Citizenship.
