The Project Coordinator will be part of the North America Program Management team and will be responsible for working with Program Managers and Implementation Managers on various tasks related to overall project delivery and logistics.  This role is designed for someone eager to grow into a full project management role, combining coordination tasks with initial project management responsibilities.  Responsibilities will range from ensuring that project allocations and timelines are updated across a number of small projects to assisting Senior PMs with tasks related to their projects.

Responsibilities:

  • Responsible for working with other PMs to gather data about projects and ensure this data is properly updated. This includes, at a minimum, resource allocations, project financials, and timelines

  • Creates and maintains a process for capturing data across multiple projects to ensure data is consistently captured and is accurate

  • Assists Program Managers in planning, executing, and closing projects

  • Maintains project documentation, including meeting minutes, status reports, and project schedules

  • Coordinates and schedules project meetings, ensuring clear communication and follow-up

  • Tracks and manages project deliverables and milestones, providing regular updates

  • Taking ownership of tasks, driving them from initiation to completion

Learning and Development:

  • Actively seeks opportunities to learn project management best practices and methodologies

  • Shadows senior project managers and participates in project planning and execution

  • Participates in relevant training and professional development activities

  • Learns to use project management software and any other relevant software

  • Continuously seeks to improve project management skill sets

Administrative Tasks:

  • Manages and organizes project files and documentation

  • Prepares and distributes project reports and presentations

  • Assists with procurement and vendor management

Knowledge, skills & education

  • 2+ years of experience in project coordination or related administrative role

  • Bachelor's degree

  • Relevant certifications (e.g., CAPM, PMP) are a plus, or a desire to obtain them

  • Experience with project management software (e.g., Jira, Smart Sheets) desired

  • Some experience with budget tracking

  • Strong organizational, time-management, and communication skills

  • Ability to work independently and as part of a team

  • Must be detail-oriented and highly organized

  • Capacity to work with ambiguous requirements and determine the necessary steps to achieve a desired outcome

  • Excellent resourcefulness in finding information and leveraging available tools

  • Ability to learn quickly and adapt to new technologies or processes

Reasonably expected salary range: $55,100.00 - $68,900.00
