Salary Range: $43,000-$78,000

Summary:

We are currently seeking a dedicated and detail-oriented Project Coordinator to join our team as a vital member of our government contracting program. As a Project Coordinator, you will play a pivotal role in assisting with the successful planning, execution, and delivery of government projects. Your ability to coordinate multiple tasks, communicate effectively, and ensure adherence to project timelines and requirements will be essential in achieving project objectives and maintaining client satisfaction.

Responsibilities:

1. Project Planning and Execution:

  • Collaborate with project managers to develop detailed project plans, including timelines, milestones, and resource allocation.
  • Monitor project progress and identify potential risks or issues, providing proactive recommendations and solutions to mitigate them.
  • Coordinate with cross-functional teams to ensure seamless project execution and adherence to established processes and procedures.
  • Assist in the preparation and distribution of project-related documentation, such as project charters, status reports, and meeting minutes.

2. Communication and Stakeholder Management:

  • Serve as a primary point of contact for internal team members, subcontractors, and government stakeholders, fostering effective communication channels.
  • Facilitate regular project status meetings, ensuring key information is shared, and action items are addressed promptly.
  • Actively engage with project stakeholders to gather requirements, address concerns, and manage expectations throughout the project lifecycle.
  • Prepare and deliver timely and accurate project updates to clients and internal management, highlighting key achievements, risks, and proposed solutions.

3. Documentation and Reporting:

  • Maintain accurate and up-to-date project documentation, including project plans, schedules, budgets, and other relevant records.
  • Generate comprehensive project reports, including progress summaries, financial analysis, and risk assessments.
  • Support the collection, organization, and analysis of project data, ensuring data integrity and consistency.
  • Contribute to the continuous improvement of project management processes and tools by providing feedback and suggesting enhancements.

4. Quality Control and Compliance:

  • Collaborate with the quality assurance team to ensure project deliverables meet contractual and regulatory requirements.
  • Monitor project compliance with applicable government regulations, policies, and guidelines.
  • Perform regular audits and reviews to ensure project documentation and processes adhere to established standards.
  • Participate in post-project evaluations to identify lessons learned and opportunities for improvement.

Qualifications:

  • Bachelor's degree in a relevant field (such as Business Administration, Project Management, or a related discipline) or equivalent experience.
  • Proven experience (1-5 years) working as a Project Coordinator, preferably within the government contracting or public sector.
  • Strong organizational skills, with the ability to manage multiple projects and priorities simultaneously.
  • Excellent written and verbal communication skills, with the ability to convey complex information effectively.
  • Proficiency in project management software and tools, such as MS Project, JIRA, or similar applications.
  • Familiarity with government contracting processes, regulations, and compliance requirements.
  • Detail-oriented mindset with a focus on accuracy and quality in all aspects of work.
  • Strong problem-solving and analytical abilities, with the capacity to identify and address project-related challenges.
  • Ability to work collaboratively in a team environment while also being self-motivated and proactive.
