Join a leading AI lab's cutting-edge GenAI team and contribute to the development of advanced AI systems. We are seeking an organized and proactive Project Coordinator to support AI research, training-data initiatives, and operational programs. In this role, you will serve as an important coordination point between program leadership, research teams, and a growing network of domain experts.
The ideal candidate is comfortable managing multiple priorities, coordinating cross-functional teams, maintaining project documentation, and adapting quickly in a fast-paced AI environment.
RequirementsKey Responsibilities
- Serve as the day-to-day point of contact for AI data and research projects, ensuring workflows remain organized and on track.
- Partner with program leads and subject-matter experts to translate project requirements into clear guidelines and actionable instructions.
- Support the onboarding, coordination, and ongoing engagement of domain experts as projects scale.
- Participate in weekly business reviews, maintain meeting notes and action items, and facilitate project calls when required.
- Monitor project quality, identify recurring issues, investigate root causes, and communicate findings to relevant stakeholders.
- Assist research and product teams in developing, documenting, and refining project processes and guidelines.
- Identify potential risks, dependencies, and bottlenecks early and coordinate with stakeholders to resolve them.
- Track project milestones, deliverables, and operational metrics using tools such as Google Sheets and Microsoft Excel.
- Maintain accurate project documentation and ensure timely follow-up across teams.
- Adapt processes and priorities as project requirements evolve.
- Location: Must be based in the United States.
- Education: STEM background strongly preferred.
- Experience: 3+ years of experience in project coordination, project management, program operations, or a similar role involving cross-functional collaboration.
- Experience coordinating large teams or complex, multi-stakeholder projects.
- Hands-on exposure to AI training-data, human-data, machine learning, or AI research projects is highly desirable.
- Experience working as a Project Coordinator, Team Lead, EPM, Program Coordinator, or expert contributor on AI/data initiatives is a strong advantage.
- Experience supporting AI or data programs within technology-driven organizations is preferred.
- Strong data-management skills, including proficiency with Excel and SQL.
- Working knowledge of coding or technical concepts, with the ability to communicate effectively with technical teams.
- Strong organizational, analytical, and problem-solving abilities.
- Demonstrated ability to lead, coordinate, or manage large groups effectively.
- Excellent written and verbal communication skills.
- Ability to work independently, manage competing priorities, and operate effectively in a fast-changing environment.
