This role is ideal for someone with strong project coordination skills who can manage timelines, track and report on progress of both activities and budgets, support cross-functional collaboration, and ultimately – clear administrative obstacles out of the way to keep workstreams moving forward! You’ll be instrumental in driving execution on large-scale hiring and process improvement projects, including recruiting engineers and product owners as well as activating systems and processes to stand up our new Product Operations function. As an example, you’ll be coordinating a large project to make changes to our product development lifecycle (PDLC) and roadmap processes within Jira.

You’ll partner closely with product leaders, engineering managers, and HR stakeholders to ensure transparency, alignment, and progress on critical initiatives. Strong Excel and Jira experience is a must, as is a proactive mindset, a strong change management philosophy, and comfort working in a global, remote environment. Less of a technical project management role—this role is focused on coordination, reporting, and supporting product planning operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Coordination:

  • Manage project timelines, schedules, and status updates across key initiatives
  • Track and report on hiring-related milestones and onboarding logistics
  • Prepare regular executive-ready updates in PowerPoint and Excel
  • Schedule and support recurring meetings, take action-oriented notes, and follow up with owners
  • Assist with vendor tracking and document organization.

Reporting & Analysis:

  • Create, update, and maintain Excel-based reports and dashboards to track key activities and KPIs for integration and hiring.
  • Prepare concise PowerPoint and Word-based reports.
  • Deliver weekly progress reports and program status snapshots.
  • Use data to identify trends, risks, blockers, and opportunities.

Data Management & Visualization:

  • Extract and transform data from various tools to support reporting needs.
  • Apply data cleansing and validation procedures.
  • Build visuals, charts, and dashboards that convey complex data in a digestible format.

Process & Tool Support

  • Help coordinate Jira workflows and reporting for product roadmap and PDLC changes
  • Partner with the Product Ops team to optimize Jira boards, filters, and dashboards
  • Ensure documentation is organized, up-to-date, and accessible across tools

Stakeholder Collaboration:

  • Build strong cross-functional relationships.
  • Understand the needs of executives, engineering leaders, and HR partners.
  • Maintain a bias for action and support team transparency.

COMPETENCIES

  • Advanced Excel skills; PowerPoint expertise for executive presentations
  • Strong analytical and critical thinking ability
  • Precise attention to detail with strong acumen for financial data
  • Excellent written and verbal communication
  • Self-motivated with strong organizational skills
  • Ability to work independently in a remote, global environment
  • Experience with reporting tools and the ability to quickly learn new ones (such as Jira, Smartsheet, etc and familiarity with tools like PowerBI or SQL helpful but not required)

QUALIFICATIONS

  • Bachelor's degree or higher
  • 3+ years of experience in project management / coordination – specifically project tracking & reporting
  • Proficiency in Jira (boards, filters, workflows, dashboards, etc)
  • Strong skills in Excel, PowerPoint, and project tracking tools
  • PMP, CAPM, or similar certifications are welcome but not required
