We are seeking a proactive and detail-oriented Project Administrator to join our dynamic team. Duties
• Assist project managers with planning, scheduling, and tracking project milestones and deadlines
• Maintain comprehensive project documentation, including reports, correspondence, and records
• Coordinate meetings, prepare agendas, take minutes, and distribute follow-up actions
• Manage calendars and coordinate appointments for project teams and stakeholders
• Handle correspondence via email, phone calls, and multi-line phone systems with professionalism and courtesy
• Support data entry tasks using tools like Microsoft Office and Google Workspace to ensure accuracy and timeliness
• Oversee filing systems—both digital and physical—to organize project files efficiently
• Provide exceptional customer support by addressing inquiries promptly and courteously
• Perform clerical duties such as proofreading documents, managing office supplies, and maintaining office organization
• Support bookkeeping activities using our accounting software as needed

Skills
• Strong organizational skills with the ability to prioritize multiple tasks effectively
• Excellent verbal and written communication skills required
• Excellent computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software
• Experience with office management procedures and clerical responsibilities in a professional setting
• Exceptional customer service and phone etiquette with experience multi-tasking to meet deadlines
• Proven experience in administrative roles such as office assistant or personal assistant preferred
• Ability to type quickly with high accuracy; keen proofreading skills for document review
• Familiarity with calendar management tools to coordinate schedules seamlessly
• Knowledge of construction industry is advantageous but not required
• Basic accounting/bookkeeping skills using Excel or similar platforms are desirable
