We’re looking for a highly organized and proactive Program Assistant to support our program managers and data teams in delivering high-impact projects. 

As a Program Assistant, you will be part of this inspiring mission, empowering individuals, communities, and organizations through collaborative support services and health care information. The Program Assistant will play a key role in supporting the planning, coordination, and execution of data-driven programs and initiatives. This role requires a detail-oriented individual with excellent communication skills, a knack for multitasking, and a strong interest in data. This position will provide support to the larger Data Solutions Department, including teams focused on analytics, research, data quality, innovation, quality control, and evaluation.

Duties/Responsibilities/Essential Functions:

  • Provide administrative and logistical support to directors, program managers, and project leads.
  • Directly support administrative tasks and meeting logistics for the Vice President of Data Solutions, the Director of Research, Evaluation, and Innovation, and the Director of Data Operations and Development.
  • Assist with meeting preparations, including agendas, presentations, and other materials.
  • Assist CIVHC’s Project Managers and Analysts with project coordination, tracking, and communication.
  • Maintain information and make updates in Salesforce regarding project tracking and coordination.
  • Provide event and meeting support, including taking and distributing notes, scheduling, planning, set-up, clean-up, and any follow-up with meeting attendees.
  • Create, update, and/or maintain organized files and records as needed.
  • Answer and prioritize telephone calls, email, and mail communications.
  • Provide back-up support for other administrative staff.
  • Perform additional duties and tasks as requested by leadership.

Required Skills/Abilities: 

  • Excellent verbal and written communication skills, including the ability to professionally communicate with multiple layers of CIVHC management, government officials, and researchers.
  • Thorough knowledge of Microsoft Office, including SharePoint, Outlook, PowerPoint, Word, and Excel.
  • Excellent organizational skills and attention to detail.
  • Experience with Salesforce required.
  • Excellent interpersonal and customer service skills.
  • Excellent time management skills with a proven ability to meet deadlines while coordinating multiple tasks from multiple sources.
  • Ability to function well in a fast-paced environment while managing changing needs or priorities.
  • Self-motivated, with initiative and reliability.
  • Preferred experience with project management or supporting/coordinating project tasks. 

Education and Experience:

  • At least three years of experience in administrative support for high-performing professional staff.
  • Preferred Bachelor’s degree or equivalent experience in business, data science, public administration, or a related field.
  • Preferred knowledge of healthcare billing, claims management, or related subject. 

Physical Requirements: 

  • Sitting for extended periods of time.
  • Using a computer and keyboard for typing and data entry.
  • Reaching and stretching to access files or equipment.
  • Lifting and carrying light objects such as papers or office supplies.
  • Walking short distances within the office environment.
  • Operating office equipment such as printers, copiers, and fax machines.
  • Occasionally bending or stooping to retrieve items from lower shelves or cabinets.
  • Maintaining good posture to prevent discomfort or strain.
  • Using a telephone or headset for communication.
  • Ability to focus and concentrate for prolonged periods.

Working Environment:

This position is based in Denver, Colorado and only applicants that live within commuting distance to Denver, or plan to relocate to a commutable distance will be considered for this role. Limited relocation assistance may be available for out of state candidates. CIVHC operates in a hybrid work environment with a requirement of at least 1-day per week in the office.

This position involves long-term sitting, computer /desk work, some walking and standing, minimal light lifting, in an office environment. Virtual, phone, and in-person communication. Some overnight travel may be required, less than 5%.

Compensation and Benefits:

The salary range for this position is $60,000 - $62,000 annually, based on relevant experience, education, and internal equity. CIVHC offers a comprehensive benefits package including medical, dental, and vision coverage; paid time off; life and disability insurance; and retirement plan contributions.
