As a Production Specialist at Brilliant, you’ll play a key role in bringing our client projects to life by managing the production process from post-estimate approval through final delivery. You’ll juggle multiple projects at once, using sharp attention to detail, strong organizational skills, and thoughtful prioritization to keep everything running smoothly.
You’ll partner closely with suppliers, designers, and cross-functional teams to ensure that every detail is executed accurately, on time, and within budget. Responsibilities
- Serve as the main point of contact for all project-specific vendor and supplier communications, ensuring alignment on all deliverables and timelines
- Keep projects on track by maintaining clear and timely communication, properly documenting updates in Wrike and Slack, and ensuring Brilliant’s client facing Creative Partners are consistently informed of the project status and updates.
- Route art proofs to clients, coordinate feedback, and communicate revisions to the design team through to final approval
- Generate and submit accurate purchase orders, confirming all order details with suppliers
- Monitor purchase orders and production progress to ensure projects stay on schedule and meet key milestones
- Review supplier invoices for accuracy, process payments, and ensure records are complete and up-to-date
- Maintain healthy project margins by verifying pricing accuracy and holding suppliers accountable to terms
- Leverage Brilliant’s internal tools and technology to support seamless project execution and fulfillment
- Collaborate across departments including Design, Client Success, Operations, and Fulfillment to ensure end-to-end project success
- Proactively identify and manage exceptions, such as delays or inventory issues, by implementing creative, solution-oriented strategies that protect timelines, quality, and client satisfaction
- Maximize efficiency by using available resources and tools to manage bandwidth and optimize workflows
- Utilizes available resources to optimize on bandwidth and allow for a more efficient workflow
REQUIREMENTS:
- Bachelor’s degree
- 2+ years of experience in project management, production coordination or similar logistics and production based role at a company producing physical goods for clients on a tight timeline, like a creative agency or corporate gifting and branding company.
- Strong problem-solving skills and the ability to think analytically while working in a fast-paced environment.
- Excellent communication skills, both verbal and written, with the ability to explain complex issues in simple terms.
- Comfort working with ambiguity and evolving processes
- Detail oriented by nature - you cross your Ts and dot your Is.
- A customer-first mindset, with a passion for delivering exceptional service.
- Technical proficiency with software applications and the ability to learn new systems quickly.
- Previous experience with project management tools like Wrike or Asana and ticketing systems like ZenDesk, Intercom or Front to manage large projects and coordinate across departments.
