Position Summary

The Payroll Tax Analyst is Melita's subject-matter expert on payroll tax across a growing, multi-client payroll operation. You own the accuracy and compliance of federal, state, and local payroll withholding and unemployment taxes for our clients, from registering new tax accounts, to auditing and reconciling tax records with the various payroll vendors (ADP, Paylocity and Rippling), to resolving agency notices and filing amendments.

Core Responsibilities

    Payroll Tax Subject-Matter Expertise
  • Serve as Melita's subject-matter expert on payroll tax calculation rules, tax reporting, and tax form filing for federal, state, and local withholding and unemployment taxes.
  • Research federal, state, and local payroll tax laws, rates, and requirements, and translate them into correct, compliant processing for our clients.
  • Partner with the Payroll Services Manager on tax-related matters and advise the team on complex, multi-state situations.
  • Tax Account Setup and Agency Management
  • Register new federal, state, and local payroll tax accounts for clients as needed, and keep account details current.
  • Resolve agency tax notices promptly and completely, serving as the point of contact with taxing agencies and payroll vendor.
  • Compliance, Audits, and Amendments
  • Use the various payroll technologies to audit, reconcile, and maintain payroll tax records against established standards, including quarter-end and year-end reconciliation.
  • Our clients’ payroll vendors do the heavy lifting for payroll tax filing and payments. As needed, you’ll work with federal, state, and local tax agencies to process amended returns and submit payments.
  • Client and Team Partnership
  • Build strong, trusting relationships with clients and colleagues, grounded in accuracy, responsiveness, and a shared drive for excellent results.
  • Communicate clearly and keep clean, well-documented records of every registration, filing, and adjustment.
  • Cross-Training and Payroll Support
  • Cross-train on payroll processing and support the broader Payroll Services team as needed.

Qualifications

    Required Qualifications
  • 3 to 5 years of payroll and payroll tax experience, including multi-state payroll and tax processing on a payroll services platform.
  • Experience researching federal, state, and local payroll tax laws, processes, and policies to verify compliance.
  • Strong analytical, problem-solving, and customer-service skills, with a high attention to detail.
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
  • Excellent communication, organizational, and time-management skills.
  • A commitment to quality work and a strong desire to excel in all your endeavors.
  • Preferred Qualifications
  • A degree in accounting or a related field.
  • A current FPC or CPP certification.
  • Ability to coordinate with payroll resources across global markets.
  • Knowledge of payroll tax processing through ADP Workforce Now, Paylocity and/or Rippling
