About the job

We’re looking for a thorough, detail-oriented Payroll Coordinator to take ownership of core payroll processing for our multi-state Employer of Record (EOR) operations.

This role focuses primarily on core payroll processing while offering the flexibility to support HR operations as needed. You already know your way around multi-state pay runs, state wage laws, and platform reconciliations. Operating with a foundation of trust and transparency, you’ll be the operational engine keeping our contingent workers paid accurately and on time, while lending an inclusive, supportive hand to lightweight HR processes during peak cycles. You won't just follow checklists—you’ll actively refine processes, build SOPs based on state wage laws, and help scale our EOR engine as we grow.

Key Responsibilities

Payroll Operations

  • Process weekly multi-state payroll runs, maintaining a strong attention to detail while transferring data between platforms.
  • Process new hire pay setup, terminations, pay rate changes, deductions, and garnishments
  • Calculate and track overtime, bonuses, and other variable pay accurately
  • Handle sick time processing and other leave-related pay adjustments, and keep leave balances current in the payroll system
  • Review timesheets and work-hour records for completeness and accuracy before processing
  • Conduct final pay review for terminated employees, including state-specific final paycheck rules and timing requirements
  • Validate payroll data for accuracy before submission, catching errors before they reach employees or clients
  • Reconcile payroll discrepancies and assist with corrections when issues arise
  • Ensure that payroll is reconciled weekly with timesheets received
  • Support payroll tax compliance: withholdings, filings, and state-specific requirements and creating SOPs based on wage laws.
  • Maintain accurate payroll records and documentation, including employee payment and tax details
  • Generate payroll reports for management review
  • Respond to payroll-related questions from employees and clients promptly
  • Provide support during internal and external payroll audits
  • Stay current on payroll software, legislative changes, and process improvements

Onboarding & HR operations

  • Assist with I-9 verification and documentation
  • Support background check coordination and follow-up
  • Assist with payroll platform onboarding for new hires
  • Provide general onboarding/offboarding support during peak periods or team absences

About you

  • 2+ years of hands-on payroll processing experience (multi-state strongly preferred)
  • Experience with payroll platforms
  • Demonstrated ability to independently run a full payroll cycle start to finish
  • Working knowledge of payroll tax fundamentals, wage & hour basics, and final-pay rules by state
  • High attention to detail and demonstrated accuracy in prior payroll work
  • Proficiency with payroll software and MS Office/Excel
  • Strong organizational and time-management skills, with the ability to manage multiple client needs and deadlines at once
  • Clear, professional communication skills for handling employee and client payroll questions
  • Ability to work independently

Preferred

  • Experience with modern cloud-based payroll platforms
  • Exposure to leave-of-absence or sick time administration
