About The Role

Clipboard Health is looking for a Payroll Administrator to join our growing People team! The Payroll Administrator will be responsible for preparing payroll for Clipboard Health and presenting for final review to the Payroll Executive and Head of People.

Main Responsibilities Include
  • Preparing payroll for two pay groups on a semi-monthly pay schedule, including, but not limited to:

    • Prorating pay for new hires and terminations

    • Reviewing, seeking appropriate approvals and processing pay changes applicable in each pay period

    • Preparing off-cycle payments as needed

    • Adding variable payments like bonuses, overtime, commissions and reimbursements as needed

  • Resolving all payroll-related questions, concerns or disputes directly with team members through our internal service desk

  • Maintaining proper payroll records for all payroll runs

  • Managing tax notices and business registrations as needed

  • Supporting the finance department with any internal auditing or investigations

  • Supporting on miscellaneous payroll projects

  • Contributing to broader People team objectives and goals

What Success Looks Like

3 months in: You are able to prepare and reconcile payroll accurately and on time with few mistakes/errors. You are following the payroll process correctly, seeking the right approvals within the expected time frame, and assisting the other members of the payroll team in ensuring accurate payroll processing for all team members, every time. You are actively contributing to the improvement of the payroll process, making suggestions to improve the time it takes to prepare payroll and/or to process payroll. You are building your understanding of what things flow through payroll in order to better support our team members’ inquiries.

6 months in: You are able to prepare and reconcile both payrolls 100% on your own. By the time payroll is being submitted to the second and third level approvers, they are not finding any inconsistencies or inaccuracies with the payroll you have prepared. You are also owning all inquiries submitted by team members, and are supporting additional items such as reporting and analysis. You are a trusted resource to both the People team and managers, and are able to investigate and resolve payroll concerns/questions independently.

Need to Have
  • At least 3 years of payroll or payroll-adjacent (such as accounting) experience

  • Proficiency in Excel/Google Sheets (i.e. experience with formulas such as VLookUp, XLookUp, CountIFs, SumIFs, pivot tables, etc.)

  • Experience with basic payroll functions, such as deductions, reimbursements, garnishments, tax filings, state registrations, etc.

  • Extreme attention to detail and high standards

  • Strong sense of ownership, accountability and initiative

  • Resourceful, organized and solution-oriented

Nice to Have
  • CPP certification

  • Experience processing payroll for countries outside of the US

  • Understanding of employment law, tax law and other relevant finance regulations

  • Accounting experience

  • Exposure and understanding of basic finance concepts as it relates to the P&L, like gross and net revenue, OPEX, accruals, etc.

Schedule
  • 9 am- 5 pm PST preferred, but can be flexible considering the individual’s time zone.

  • Considering payroll deadlines are inflexible, you will be expected to plan time off around payroll processing dates.
