About this Position
We are seeking an organized, detail-oriented Order Assurance Associate to join our Delivery team. This entry-level position is full-time and salary-based, offering a hybrid work arrangement. You will support the Order Assurance Manager, Creative, and Customer Success teams with order entry, production tracking, partner communication, and ensuring timely fulfillment of your assigned orders. This role is perfect for someone who is eager to learn and grow, with a blend of analytical and operational thinking.
Success in This Role Means:
- Orders are accurately entered, routed, and tracked through production systems, ensuring timelines are met and partners are aligned with customer expectations.
- Internal production queues are monitored and prioritized to maintain workflow efficiency and 98% on-time delivery.
- Any risks, delays, or special customer requirements are proactively identified and communicated to the Order Assurance Manager and relevant teams.
- Customers and partners are supported throughout the process to ensure smooth, high-quality order fulfillment.
- Maintain a 99% error-free rate across all assigned orders.

Key Responsibilities:
- Order Management: Enter, validate, and track internal and external orders, ensuring accuracy, complete data, and confirmed production timelines.
- Purchase Orders & Partner Communication: Place POs with assigned partners to maintain timelines and quality standards
- Production Queue Oversight: Monitor and prioritize internal production tasks, resolve bottlenecks, and collaborate with cross-functional teams to keep operations on track.
- Order Tracking: Track orders through fulfillment, monitoring partner acknowledgments, shipping details, and potential risks or delays.
- Customer Requirements: Manage special customer needs, including case labeling, shipping via customer accounts, and delivery windows.
- Team Support: Assist the Order Assurance Manager and support the Customer Success and Creative teams to ensure smooth, accurate order fulfillment.
- Continuous Improvement: Identify process gaps or inconsistencies, flag critical issues, and support enhancements to increase efficiency and quality.
Qualifications
- Strong attention to detail, organizational skills, and ability to work with a sense of urgency.
- Comfortable multitasking and managing multiple priorities simultaneously.
- Proficiency with Google Sheets and Monday.com; experience with NetSuite and Gorgias preferred.
- Excellent written and verbal communication skills; able to collaborate effectively with internal teams and external partners.
- Adaptable, proactive, and eager to learn; entry-level experience acceptable.
- Experience in printing, logistics, or order management is preferred but not required
