We aim to be the primary service provider for the people and entities responsible for the care, movement, and long-term preservation of art and culture.

To that end, our Operations Support Specialist is responsible for providing cross functional support to both our internal team and clients. This candidate will be focused on logistical coordination, documentation, scheduling, data entry, and general office management to ensure smooth execution of daily operations.

RESPONSIBILITIES

  • Provide administrative support to warehouse and transportation teams, including preparing and managing documentation, maintaining spreadsheets, filing, and handling inbound/outbound shipments

  • Greet clients, manage incoming phone calls and emails, coordinate delivery appointments, and maintain the team calendar

  • Input/update database records for inventory, shipments, and collection management activities

  • Contact part-time team members to confirm scheduling and assist in maintaining workforce coordination

  • Responding to customer inquiries, resolving service issues, assisting with creation of estimates and invoices, and ensuring payment received

  • Coordinate with internal teams to ensure alignment on service schedules and operational needs.

  • Communicate scope changes or adjustments to all stakeholders

  • Oversee supply purchasing and vendor coordination for facility maintenance and custodial services

  • Manage client storage agreements, including onboarding, vacate processes, and account closures

  • Support general office functions, including expense reporting, generating purchase orders, and handling special project support

QUALIFICATIONS

  • 2+ years of administrative or operational support experience; background in logistics, warehousing, or fine arts is a plus

  • Strong attention to detail, multitasking, and organization abilities in a fast-paced environment

  • Excellent verbal and written communication skills, with a client-centric approach

  • Proficiency in Google Suite Apps (Gmail, Drive, Meet, Calendar, Chat, Docs, Sheets,); database and inventory software experience preferred
