The opportunity
Our client is looking for a highly organized, tech-savvy, and deeply mission-aligned Operations Manager to join its Founder's Office. In this role, you will blend executive support with day-to-day operations, collaborate with the founding team, developer partners, legal counsel, and vendors, and help deliver a smoother experience for both users and partners as the company grows.

Our client is an unfunded, bootstrapped ethical AI companion company. It builds private, privacy-first AI tools — never trained on user data, hosted on renewable-powered EU infrastructure — and stands firmly against surveillance capitalism and digital colonialism. The current priority is scaling responsibly: improving how the company listens to users, supports its developer-partner ecosystem, and runs lean operations without compromising its values.
What you will do
- Own customer success end to end, from first inquiry through resolution, including refunds, feature requests, complaints, and invoice/receipt issues via Stripe and Proton Mail.
- Monitor and respond to high-volume user feedback from the platform's feedback button and direct email channels (~5–10 daily), and draft standardized replies and automation workflows to improve response times and consistency.
- Analyze qualitative and quantitative feedback to produce weekly and monthly reports for the tech and product teams.
- Manage complex calendars for two co-founders, prioritizing meetings, resolving scheduling conflicts, and arranging travel logistics for founder trips.
- Handle general inquiries about speaking engagements, event participation, and business partnerships with timely, professional responses, and track follow-ups on LinkedIn messages and personal emails from prospective partners and clients.
- Conduct research on new projects, potential collaborations, and market opportunities (non-sales focused).
- Schedule internal meetings, take minutes, and follow up on action items to keep the team aligned.
- Support developer partners integrating the client's AI into their platforms, coordinating with legal counsel and vendors, preparing documents, and tracking deadlines.
- Assist with basic financial administration, including reviewing Stripe dashboards and organizing financial records.
- Draft, edit, and organize business documents accurately and professionally, and handle registrations and administrative processes efficiently.
- Maintain discretion and professionalism when handling sensitive information.
What you bring
- Native or fluent proficiency in both English and Arabic (written and spoken).
- High comfort with modern productivity tools such as Proton Mail, the Stripe dashboard, Notion, and Slack.
- Experience setting up automated email responses or workflows is a plus.
- Demonstrated analytical ability to synthesize large volumes of user feedback into clear, actionable reports for engineering teams.
- Excellent written communication skills and the ability to represent the brand professionally in all customer and partner interactions.
- Strong multitasking abilities with meticulous attention to detail, working independently across functions and time zones.
- Previous experience in customer success, operations, or executive assistance.
Helpful, but not essential
- Experience in the AI/SaaS sector.
- Familiarity with startup environments and distributed-team working styles.
- Prior exposure to mission-driven or social-impact organizations.
How the engagement works
You will contract directly with Apricot, which manages contracting, invoicing/payroll, payments, and administrative support. Day to day, you will work with the Founder's Office team and report to the co-founder. Your work will be based on the agreed scope and deliverables. You are expected to provide your own laptop and basic equipment, maintain reliable connectivity and a secure working environment, and follow required security controls, including two-factor authentication. Planned check-ins are in month 1 and month 3 to see how the engagement is working and help address issues.
