Job Summary
This role will be a critical member of the Chief of Staff team supporting the Chief Operating Officer at Optimum. This is a dual-role position that blends program management and operational execution with executive administrative support.
This individual will serve as a trusted partner to the COO and Chief of Staff, ensuring seamless day-to-day operations while also driving forward key priorities, special projects, and ad hoc initiatives. The ideal candidate is proactive, highly organized, and thrives in ambiguity - able to anticipate needs, solve problems independently, and operate with a high degree of judgment and discretion.
Responsibilities
Program Management & Operational Support
  • Partner with the COO and Chief of Staff to support execution of key strategic initiatives and operational priorities.
  • Support ad hoc initiatives and special projects as business priorities evolve.
  • Track action items, commitments and deliverables from leadership meetings and forums to support follow-through and accountability.
  • Anticipate needs, proactively resolve issues and ensure leaders are prepared and positioned for success.
  • Track and drive progress against key action items, proactively identifying risks and resolving blockers.

Executive Support & Administration
  • Manage complex, high-volume calendar for the COO, including prioritization, conflict resolution, and alignment with strategic priorities.
  • Coordinate domestic and international travel, including detailed itineraries and real-time adjustments.
  • Prepare and manage expense reports in a timely and accurate manner.
  • Serve as a gatekeeper and facilitator for the COO's time, ensuring focus on highest-impact activities.
  • Support preparation for executive meetings, including agendas, materials, and follow-ups.
  • Build strong relationships across the organization to enable effective coordination and communication.

Qualifications
Qualifications
• 2+ years of experience supporting senior executives (C-suite or equivalent) within large, complex organizations • Proven ability to operate effectively in a dual capacity - balancing administrative excellence with strategic/programmatic responsibilities • Strong program management skills with experience leading cross-functional initiatives • Highly organized, proactive, and adaptable, with the ability to manage multiple priorities under tight deadlines• Demonstrated ability to navigate ambiguity and operate with minimal direction • Strong executive presence and judgment; comfortable interacting with leaders at all levels of the organization.• Excellent written and verbal communication skills • Advanced proficiency in Microsoft 365 • Preferred experience supporting operations, technology, network services or customer-facing organizations.
