Job Summary

The Operations & Innovation Program Specialist supports day-to-day internal operations across light accounting, marketing administration, and Business Central employee/timecard administration, while also owning the operational execution and storytelling of our Innovation Program.


This role blends process discipline (tracking, approvals, workflows) with presence (facilitation + presenting). You’ll run innovation meetings, keep the program organized, and deliver engaging monthly updates that keep leaders and teams excited and aligned.

Essential Functions

Business Central Administration (Employees + Timecards)

  • Support employee setup/maintenance tasks in Microsoft Dynamics 365 Business Central (access coordination, resource/employee records, basic data upkeep as assigned).
  • Administer timecard/time sheet processes:
    • Monitor submission status, follow up on missing/late timecards, and support employees with basic questions.
    • Ensure time is coded to the correct projects/engagements and escalates issues quickly.
    • Produce simple reporting/exports as needed for leadership and finance.
  • Maintain clear documentation and step-by-step guides for common timecard workflows.

Accounting Support

  • Assist with routine accounting operations such as document organization, basic data entry, invoice backup collection, and routing for approval.
  • Maintain clean records and respond quickly to finance/admin requests.

Marketing Support

  • Support simple marketing operations such as maintaining lists, coordinating recurring activities, keeping trackers current, and supporting basic content logistics (compiling inputs, formatting, scheduling support).

Innovation Program Operations (Program Owner)

  • Maintain and continuously improve the idea intake + scoring workflow.
  • Schedule, run, and document Innovation meetings; maintain agendas, decisions, and action tracking.
  • Keep the “menu” stocked: a prioritized pipeline of ideas/POCs that are ready for review.
  • Revitalize and maintain the bounty board so it stays active, current, and visible.
  • Administer awards workflows end-to-end:
    • Trigger automated award emails to HR for approval.
    • After approval, trigger automated award emails to Payroll for payout processing.
    • Track award status, maintain audit trail, and follow up to completion.
  • Help design and implement a single app + automated workflows to manage the full lifecycle (intake → scoring → review → bounty/POC → awards).

Presenting & Program Storytelling

  • Prepare and deliver a monthly Innovation update to a broad audience (leadership + staff).
  • Create compelling narratives from program data: wins, lessons learned, pipeline highlights, and what’s next.
  • Facilitate live discussion with confidence—keeping energy high, engaging the room, and landing key messages clearly.


Position Requirements

  • 2+ years in an operations/admin/program support role (or equivalent experience).
  • Comfort with timecard administration and recurring operational workflows.
  • Proficiency in Microsoft 365 (Teams, Outlook, Excel, SharePoint).
  • Able to create and deliver presentations (PowerPoint) and speak confidently to groups.
  • Operations execution: strong follow-through, detail orientation, reliable cadence management.
  • Communication & facilitation: clear written updates, crisp meeting notes, strong stakeholder follow-up.
  • Presentation presence: charismatic, captivating, confident presenter who can hold attention and make updates feel exciting.
  • Process improvement mindset: naturally looks for ways to simplify, automate, and standardize.
  • Experience with Microsoft Dynamics 365 Business Central (especially time sheets/resources/projects).
  • Experience with Power Automate / Power Apps / Microsoft Lists (or similar workflow automation).
  • Basic familiarity with marketing admin tooling (Mailchimp/HubSpot/Canva/social schedulers).
  • Experience running internal programs (innovation, continuous improvement, awards/recognition, etc.).


What Success Looks Like

  • Business Central timecard administration runs smoothly: fewer late submissions, fewer coding errors, faster issue resolution.
  • Innovation meetings run consistently with clear outcomes and documented follow-ups.
  • Intake + scoring workflow is live, used consistently, and easy for employees to navigate.
  • Bounty board is current and actively referenced.
  • Award workflows operate reliably with minimal manual chasing.
  • Monthly Innovation presentation is polished, energetic, and improves engagement month-over-month.


Travel / Relocation Requirements

  • Up to 5%, this may include travel to any or all 50 US states
  • Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.
