Job Description
The Operations Coordinator-SMART requires a detail-oriented individual with excellent organizational and communication skills. The Operations Coordinator is responsible for seamlessly coordinating various operational activities within the SMART production team, monitoring processes, and optimizing procedures to enhance overall efficiency and effectiveness.Location: Remote
ESSENTIAL JOB FUNCTIONS:
- Coordinate and monitor day-to-day operational activities to ensure efficiency and effectiveness.
- Collaborate with Account Managers and Recruiters clinician coordination teams to optimize scheduling and assignment management, ensuring seamless execution.
- Partner with USACS’ Managed Service Provider to ensure all jobs are updated in Bullhorn.
- Ensure complete profile setup for each candidate in Bullhorn.
- Serve as a liaison between different departments, teams, and stakeholders. Facilitate effective communication to ensure seamless information flow and collaboration.
- Identify operational bottlenecks, inefficiencies, or issues and propose solutions. Collaborate with relevant teams to implement process improvements.
- Maintain accurate and up-to-date operational procedures, guidelines, and best practices documentation. Ensure that processes are well-documented for reference and training purposes.
- Assist in planning companywide events.
- Build relationships with clinicians and establish open communication.
- Walk clinicians through the online application and assist with completion.
- Help clinicians with the digital submission of required documents.
- Confirm clinician completion of appropriate agreements and addenda.
- Follow up on outstanding timesheets, reports, and other required documentation to ensure timely submissions.
- Coordinate and Communicate Clinician Assignment Details
- Serve as a liaison between clinicians and the travel team for all aspects of clinician travel throughout the assignment.
- Obtain contact details for specific assignments and enter them into Bullhorn.
- Generate client and clinician confirmations.
- Internal Communication Liaison
- Coordinate with Recruiters, AMs, and VP to identify the areas needing communication or application support.
- Determine additional details to prepare the clinician for a successful start on-site.
- Confirm and document details for the clinician.
- May work on special projects or other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Strong organizational skills with a keen eye for detail.
- Excellent written and verbal communication abilities.
- Proficiency in using productivity and collaboration tools (e.g., Microsoft Office suite, project management software).
- Problem-solving and analytical skills to identify and address operational challenges.
- Ability to work effectively in a fast-paced environment and handle multiple tasks simultaneously.
- Team player with the capacity to collaborate and build relationships across departments.
- Prior experience in operations coordination, supply chain management, or related roles is a plus.
- Previous experience building recruitment operations teams.
- Extensive experience building roadmaps for recruitment technologies and analytics/reporting.
- Demonstrated ability to understand different stakeholder perspectives and views, build productive working relationships, manage key stakeholder expectations, and negotiate as required.
- Strong understanding of talent acquisition from a business, candidate, and recruiter perspective.
EDUCATION AND EXPERIENCE:
- Bachelor’s degree in business administration, operations management, or a related field (or equivalent work experience).
PHYSICAL DEMANDS:
- While performing the duties of this job, the employee is regularly required to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift to 15 pounds.
- Requires close visual acuity to perform the job.
Hourly Rate: $24.83 - $45.93
Hourly rate may be determined on several factors including but not limited to knowledge, skills, experience, education, geographical location and requirements stated in job description.
