Position Summary:

The Office Services Coordinator plays a vital role in ensuring the smooth and efficient day-to-day operations of the office. This position provides comprehensive support across all departments and levels of staff, while fostering strong relationships with internal and external clients and service providers. Working closely with the Business Director and Office Services Manager, the Office Services Coordinator is dedicated to maintaining the highest standards of service.

The ideal candidate is adaptable, dependable, and prepared to work overtime as needed.

Key Responsibilities:

  • Oversees the receipt, processing, and distribution of all incoming and outgoing mail, packages, and hand deliveries
  • Maintains adequate supplies of paper and toner across all printers and copiers, and coordinates the secure shredding of confidential documents
  • Prepares and assembles binders, and performs copying and scanning of documents as requested by staff
  • Provides hospitality and front-of-house support, including assistance with the planning and execution of office events and client functions
  • Coordinates and facilitates office moves and workspace turnovers, ensuring minimal disruption to daily operations
  • Performs spot cleaning and general housekeeping tasks to maintain a clean, organized, and professional office environment
  • Provides coverage for the Legal Support Specialists during absences to ensure continuity of service and uninterrupted workflow
  • Serves as a backup for reception by answering and directing incoming calls, and by welcoming, assisting, and directing visitors in a courteous and professional manner
  • Answers and transfers incoming calls; receives, assists, and directs visitors
  • Handles all responsibilities with the highest level of confidentiality and professionalism
  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned

Qualifications

  • Excellent organizational skills
  • Professional demeanor and strong verbal and written communication skills, including active listening and the ability to convey information clearly
  • High level of initiative, sound judgment, and strong follow-up skills
  • Ability to work under pressure, manage strict deadlines, and effectively balance multiple tasks with minimal supervision

Education & Prior Experience:

  • High school diploma; college degree is a plus
  • Minimum 3 to 5 years administrative experience related to the duties and responsibilities specified

Technology

  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel, and Outlook
  • Exceptional computer skills with the ability to learn new software applications quickly

The expected pay range for this position is:

$27.88 to 31.73 per hour

Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.  Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.  Additional voluntary programs include:  voluntary accident insurance, voluntary life, voluntary disability, voluntary critical illness and cancer insurance and pet insurance.  Commuter and Transit programs may also be available in certain markets.
