About this team:

This position will be responsible for the daily operations of the Broomfield office and will work directly with the Director of Global Facilities. The position requires strong attention to detail and communication, and most importantly, must be a people person. The Office Manager must be flexible, deliver results in a fast-paced environment, and be responsible for managing office services. Success is determined by ensuring that office operations and procedures run smoothly and by the ability to make decisions that yield positive outcomes for our team.   You must have a customer-first attitude, along with a sense of urgency, to provide exceptional service.

In this role you will:  

  • Oversee all office operations, including access cards, snack programs, vendors, facility maintenance requests, and team initiatives.

  • Partner with building management to provide guest passes and access for guests and visiting employees.  Ensure guests have access to the building without issues. 

  • Manage the lunch program. 

  • Manage office supply orders and food deliveries to ensure kitchens are fully and regularly stocked.

  • Oversee cleaning vendors to ensure high standards of cleanliness are maintained.

  • Organize, declutter, and maintain high-traffic areas, including conference rooms, printer rooms, elevator lobbies, stairways, restrooms, hallways, and window areas.

  • Partner with building management and external vendors to resolve facilities issues, manage building tickets, and handle COI submissions.

  • Manage security and building systems, including HVAC, fire alarms, and access control.

  • Maintain and update the OfficeSpace seating chart.

  • Provide name tags and seating for new hires. 

  • Remove the effects of terminated employees to create desks for guests.

  • Assist with office moves and workspace planning as needed.

  • Secure quotations, initiate purchase orders, and negotiate contracts for improvements, repairs, and maintenance.

  • Maintain maintenance records, vendor listings, and the Facilities Guide, and manage the office attendance sheet.

  • Support employee engagement, wellness, and cultural initiatives; serve as an advocate for company culture.

  • Oversee the executive experience for ELT events and Board meetings

We’re looking for someone with: 

  • Ability to relate to officials, staff, and the public in a courteous manner. A people person.

  • Ability to lift and carry objects weighing from 15 to 40 pounds.

  • Required to work in a supervisory capacity with custodial and security staff and possess a basic working knowledge of H.V.A.C., fire alarms, and other life safety systems,  and security systems.

  • Strong written communication skills to scribe precise specifications for maintenance plans. 

  • 2+ years of experience in facilities maintenance with working knowledge of building management, maintenance vendors, and maintenance budgets/costs. 

  • Ability to travel if needed.
