Headway’s mission is a big one – to build a new mental health care system everyone can access. We’ve built technology that helps people find great therapists with the first software-enabled national network of providers accepting insurance.
1 in 4 people in the US have a treatable mental health condition, but the majority of providers don’t accept insurance, making therapy too expensive for most people. Headway is building a new mental healthcare system that everyone can access by making it easy for therapists to accept insurance and scale their practice.
Headway was founded in 2019. Since then, we’ve grown into a diverse, national network of over 45,000 mental healthcare providers across all 50 states who run their practice on our software and have served over 1 million patients. We’re a Series D company with over $325m in funding from a16z (Andreessen Horowitz), Accel, GV (formerly Google Ventures), Spark Capital, Thrive Capital, Forerunner Ventures and Health Care Service Corporation.
We want your time here to be the most meaningful experience of your career. Join us, and help change mental healthcare for the better.
About The Role
At Headway, we’re building a new mental healthcare system from the ground up—one that’s accessible, effective, and built to scale. As part of that mission, our Clinical Operations team ensures that the services we support are backed by accurate, compliant, and clinically sound documentation and coding. We're looking for a Medical Coding Specialist to help bring this vision to life.
This person possesses licensure as a Certified Professional Coder (CPC). The CPC will be responsible for auditing medical records to assess compliance with behavioral health coding and documentation standards (ICD-10-CM and CPT). While this is not a production coding role, the ideal candidate will bring strong analytical and auditing skills, along with a solid understanding of mental health diagnoses, documentation requirements, and industry coding guidelines. This position works closely with providers to deliver audit feedback and supports continuous documentation quality improvement in partnership with internal teams.
You Will:
- Audit behavioral health documentation and coding (ICD-10-CM and CPT) for accuracy, compliance, and completeness
- Deliver actionable feedback to providers through 1:1 remediation meetings and scheduled Coding Office Hours
- Serve as a subject matter expert by answering coding-related questions and supporting internal QA calibration processes
- Contribute to provider education efforts, including drafting content, identifying documentation gaps, and advising on clinical documentation standards
- Provide insights on coding trends, identify risk areas, and recommend improvements to tooling, product, and training
- Collaborate with cross-functional partners on initiatives like Clinical Annotation Tool (CAT) enhancements and billing code guardrails
- Stay current with evolving coding guidelines, payer rules, and industry standards through continuing education and independent learning
You’d be a great fit if…
- Have a CPC certification (required) and 2+ years of experience in outpatient or professional services coding, ideally within behavioral health
- Hold a CPMA certification (nice to have) or have strong auditing experience
- Possess a strong grasp of ICD-10, CPT, and HCPCS coding systems and their documentation requirements
- Communicate clearly and empathetically, especially when educating providers or discussing sensitive feedback
- Bring a high level of attention to detail and comfort working independently in a fast-paced, digital environment
- Are tech-savvy: you can navigate Google Workspace, Zoom, and EMR platforms—or you’re excited to learn
- Are energized by working cross-functionally and driving quality at scale in a tech-forward setting
