About the Role

As the Marketing Coordinator, Events, you will own execution of OpenSesame’s trade show and live event calendar,  with a strong emphasis on even logistics and onsite execution. Events are a core engine of our integrated marketing campaigns, driving pipeline, accelerating deals, and building meaningful connections with prospective clients, enterprise buyers, and partners.

In this role, you’ll own hands-on logistics and onsite execution across our event portfolio. You will bring a high-energy, detail-oriented approach to project management while leveraging modern marketing workflows and AI-enabled tools to execute memorable, high-impact experiences efficiently.

This role reports to the Manager of Integrated Campaigns, and will work alongside our Field Marketing Manager to execute our live event calendar, aligning localized field activations with broader brand initiatives and campaign milestones.

What You Own

  • End-to-End Event Execution: Plan, manage, and execute OpenSesame’s event calendar, including third-party trade shows and field events.
  • Campaign & Cross-Functional Alignment: Translate Integrated Campaigns strategies into actionable event plans - partnering closely with your team members across marketing while aligning directly with Sales, Customer Success, and GTM Operations on audience targeting, messaging, and pipeline goals.
  • Logistics & Vendor Management: Own all operational details - booth logistics, contract negotiations, venue sourcing, staff scheduling, travel coordination, shipping, promotional materials, and vendor relationships.
  • Sales & Partner Enablement: Build pre-event prep materials, coordinate booth/meeting staffing schedules, and equip sales representatives and partner managers with the tools and context needed to maximize onsite meetings and follow-ups.
  • Budget & ROI Tracking: Manage event budgets down to the penny and track key event performance metrics (MQLs, meeting volume, pipeline contribution, cost-per-lead) to report performance against budget and targets for manager review.
  • AI & Modern Workflow Adoption: Integrate AI tools into your daily workflow to streamline event communications, build promotional copy faster, summarize event takeaways, and optimize event administrative tasks.

Performance Objectives

30 Days - Ramp Up & Foundations

Goal: Map the current landscape, learn OpenSesame’s event cadence, and step into ongoing event logistics.

  • Complete onboarding and set up 1:1s with key partners across Integrated Marketing, Sales, RevOps, and Partner teams.
  • Audit all active and upcoming Q3/Q4 events (live and digital) to understand commitments, contracts, timelines, and deliverables.
  • Shadow existing tradeshow and event operational workflows, including booth build/breakdown, to learn current tech stack, attribution tags, and CRM handoff points.
  • Take direct ownership of logistics for our upcoming events already on the calendar.

Deliverables:

  • A 30-day event operations audit identifying current logistics risks, quick wins, and immediate resource needs.
  • Successful handoff and direct operational ownership of an active event.

60 Days - Ownership & Execution

Goal: Take full ownership of the event calendar, execute seamlessly, and optimize process efficiency.

  • Fully own the end-to-end execution of trade shows as well as support on field events, ensuring clean tracking, tight vendor management, and seamless pre/post-event sales handoffs.
  • Standardize the pre-event enablement process for sales reps attending field events (briefing documents, meeting schedules, target account lists).
  • Establish a repeatable post-event follow-up rhythm in partnership with demand gen and sales ops to guarantee rapid lead routing and campaign attribution.
  • Identify one manual event workflow (e.g., vendor communications, attendee follow-up copy, or speaker briefing docs) and implement an AI-driven tool or template to accelerate it.

Deliverables:

  • Clean, on-budget execution of two live or virtual events with documented post-event metrics and lead routing.
  • Standardized Field Event Playbook for sales enablement and pre-event team prep.
  • One implemented AI-enabled workflow saving team time on event admin or content iteration.

90 Days - Impact & Growth

Goal: Drive predictable pipeline contribution through events and contribute to forward-looking campaign strategy.

  • Contribute event-level performance data and takeaways — pipeline contribution, ROI, and partner participation — to the Q3/Q4 event retrospective.
  • Provide input on proposed event types, budget needs, and partner opportunities to support the 2027 events strategy.
  • Formalize a scalable event request and evaluation rubric to help the integrated marketing team evaluate incoming field/partner event opportunities against ideal customer profile (ICP) fit and cost efficiency.

Deliverables:

  • Event performance data and input feeding the Q3/Q4 Event Portfolio Retrospective.
  • Documented input into the 6-month forward-looking Event Roadmap and budget proposal.
  • Repeatable framework/rubric for evaluating incoming event sponsorship opportunities.

You might notice we don’t have the typical list of requirements and buzzwords here. That’s intentional.

We’re looking for proven examples from your career that show you can do this job, that you’ve built systems, driven alignment, and created impact at scale. When you look back a year from now, you’ll know you’ve made OpenSesame better, faster, and stronger because of your leadership.

Although it should go without saying (but it doesn’t), OpenSesame is an equal opportunity employer and we strive to create a welcoming, inclusive environment that celebrates diversity.

It doesn't replace them. The skills you build here travel with you.

Location: This position can be based anywhere in the US. We operate as a remote-first company, and invest in mandatory all-company meetings several times a year in addition to required team travel of up to 15 days per year as necessary.

Travel Requirements: Because this role directly supports OpenSesame’s trade show and live-event calendar, travel is an essential and required part of the position. The current estimate is approximately 10 events per year, with each trip typically lasting 3–4 days. The frequency, duration, and timing of travel may vary based on OpenSesame’s event calendar and evolving business needs.

Performance Driven: We're looking for self-starters with a track record of delivering excellent results, but we're highly selective about who we hire. We don't focus on typical job requirements, instead, we're interested in specific examples from your past experiences.

Compensation: The pay range for this position is generally between $70,000–$80,000, depending on experience. We carefully consider a wide range of compensation factors, relying on market data to determine compensation and consider your specific job family, background, skills, and experience. We prioritize pay transparency, fairness, and equity to create a positive and inclusive work environment, regularly reviewing our compensation practices to align with our values and goals.

Benefits: Benefits include comprehensive medical, dental, and vision coverage, flexible PTO, 401(k) matching, incentive stock options, volunteer time off, Employee Resource Groups, and a generous professional development program with dedicated annual time off for learning and growth.

Equal Employment Opportunity: OpenSesame is an Equal Employment Opportunity and Affirmative Action employer that values and welcomes diversity. We do not discriminate on the basis of various legally protected characteristics, including criminal history, and strive to provide reasonable accommodations to qualified individuals with disabilities. We prioritize safety and security and may use your information accordingly, and you can contact us for assistance or accommodations during the job application process.

We provide competitive and fair compensation to our employees based on their skills, experience, and performance.

CPRA (California Candidates): When you submit your application, OpenSesame may collect and use your personal information in accordance with our privacy policy and the CPRA. This may include personal details and employment history, and will only be used for employment-related purposes. We may share this information with third-party service providers, but we will not sell it to third parties. If you have any questions or concerns, please contact us, and for more information on your rights under the CPRA, refer to our privacy policy or the California Attorney General's website.

We Care About Your Security: We’ve been made aware of a phishing scam involving individuals impersonating OpenSesame recruiters. All legitimate communication from our team will come from @opensesame.com email addresses. If you receive a suspicious message, please contact us directly at [email protected]. Your security matters to us, thank you for staying vigilant.
