General Purpose:

The Human Resources Specialist is responsible for completing various tasks to support the Human Resources department's daily operations and initiatives.  This includes assisting employees, providing support for firm-wide and local activities and initiatives, supporting recruiting processes, employee onboarding, and maintaining employee records.

Essential Duties/Responsibilities:

  • Provides front line assistance to firm employees in-person, by phone, and via email concerning HR-related topics, policies, and programs. Monitors and tracks inquiries, providing responses and escalating issues, as needed, to the HR team in a timely manner.
  • Understands all company policies and assists with explaining to staff when necessary.
  • Supports the recruiting process by managing job postings, candidate sourcing, resume review, pre-screening of candidates, scheduling candidate interviews, and conducting reference checks.
  • Processes conflict clearances, background checks, and I-9s for new hires (regular and temporary) for all departments and all offices. Requires frequent communication with the members of Ethics and Business Intake, HR colleagues, candidates, and hiring managers on clearance status.
  • Coordinates the onboarding process for new hires, including new hire forms, in-office first day orientation activities, ensuring a smooth transition into the firm.
  • Assists with collecting status change forms for processing employee changes.
  • Maintains electronic and/or paper personnel files. Oversees the maintenance of I-9 forms firm-wide, ensuring compliance and following retention guidelines and storage requirements. Conducts annual audits of all employee I-9 forms to ensure ongoing compliance with federal regulations.
  • Coordinates and oversees new hire welcome events and annual business professional celebrations held in the office, including milestone anniversaries and retirements, working in conjunction with Office Managers when appropriate. Leads the planning and organization of events, ensuring all aspects of the event are covered. Works closely with the HR team, seeking assistance and input as needed.
  • Processes mail addressed to HR and/or team members. Assists team members with mailing/shipping projects.
  • Assists with various HR programs, such as the tuition and seminar requests for reimbursement, the firm’s business professional engagement and recognition initiatives, and the employee referral program. Ensures necessary documentation and approval(s), tracking of use, and communication with internal teams.
  • Schedules conference rooms and arrangements for HR meetings and other meetings as requested.
  • Acts as a backup to the weekly timecard review process.
  • Assists HR leadership with administrative needs, including travel, calendar management, expense management (expense reports and credit card reconciliation), and preparation of correspondence, memos, or other documents.
  • Maintains HR information on the intranet. Regularly monitors to ensure all information is current and accurate.
  • Ensures that legally required employment-related posters are ordered and disseminated annually for all offices.
  • Performs additional duties and tasks as assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.

Supervisory Duties (if applicable):

This position has no supervisory responsibilities.

Job Qualifications (Education, Experience and Certification):

  • Three (3) years of human resources experience required.
  • Bachelor’s degree in human resources, business administration, or related field preferred.
  • Strong organizational skills, prioritization, and attention to detail to handle multiple projects and deadlines.
  • Strong verbal and written communication skills to interact effectively with a wide variety of people.
  • High degree of professionalism, integrity and strict adherence to confidentiality and other firm policies.
  • Knowledge of employment-related laws and regulations.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficient with Microsoft Office Suite or related software.

Physical Requirements:

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Work Environment:

Professional office atmosphere.  Sedentary work that primarily involves sitting or standing for prolonged periods.  Position may require occasional off-hour meetings and events.

Schedule:

For the first 90 days of employment, this position will be in-office every day.  After completion of 90 days, this position may allow for a hybrid schedule generally in-office a minimum of three (3) days per week.  Additional days in-office may be required depending on business need and the demands of specific tasks.  The hybrid work structure may change at any time, including the number of in-office days requirement. 

Compensation:

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees.  The Colorado and Nevada salary range is $26.15 to $43.58 hourly. A discretionary bonus may be available based upon performance.
