Job Description:

Position Summary

The People (HR) Assistant provides administrative support to the People Team while serving as the first point of contact for visitors and callers while coordinating daily office operations, hospitality, and site-wide activities. This role is responsible for creating a welcoming, organized, and professional environment through reception services, meeting and event coordination, facility support, and employee engagement initiatives. The position plays a key role in delivering exceptional visitor experiences and supporting a positive, people-centric workplace culture.

Key Responsibilities

Human Resources Support

  • Provide administrative support for HR processes.
  • May assist with new hire orientation logistics, including preparing onboarding materials, coordinating schedules, writing new hire announcements and ensuring completion of required paperwork.
  • May support recruiting activities by scheduling interviews, communicating with candidates, and assisting with applicant tracking and hiring documentation.
  • Help administer employee programs such as benefits enrollment, training records, recognition activities, and employee communications.
  • Respond to routine employee questions regarding HR policies, procedures, and programs, escalating more complex matters as appropriate.
  • Always maintain confidentiality of employee information and sensitive company data.
  • Contribute to special HR projects that enhance our culture and employee experience.
  • Provide additional administrative support as needed.

Reception & Visitor Experience

  • Serve as the primary front desk contact; greet and assist visitors, vendors, clients, and team members in a professional and hospitable manner.
  • Manage visitor sign-in, badges, and coordination of keycard access for team members and contractors.
  • Operate the main phone line, routing calls appropriately.

Office Coordination & Administrative Support

  • Coordinate conference room reservations, meeting setup, and room readiness.
  • Maintain lobby, reception, conference rooms, and shared office spaces.
  • Order and manage office, restroom, cleaning, and breakroom supplies.
  • Manage incoming and outgoing mail, packages and courier services.

Hospitality, Meetings & Client Visits

  • Coordinate catering and hospitality services for meetings, client visits, and events.
  • Ensure beverage stations, coffee machines, and kitchens are stocked, clean, and operational.
  • Prepare welcome signage (digital and printed) for visitors, meetings, and Factory Acceptance Tests (FATs).
  • Support room setups, food service, and post-event clean-up.

Site Events, Celebrations & Engagement

  • Lead planning and execution of site events, celebrations, and recognition activities.
  • Chair or lead the site celebration/activities committee, including wellness and engagement initiatives.
  • Coordinate anniversaries, recognition programs, charitable events, and seasonal activities.
  • Manage catering, decorations, signage, and event logistics.

Digital Displays & Site Communications

  • Maintain digital flatscreen communication displays with announcements, events, and corporate updates.
  • Post site communications such as holidays, wellbeing initiatives, and team member announcements.
  • Create signage and visual materials using PowerPoint or other design software to support events and visitors.

Safety, PPE & Site Support

  • Ensure PPE compliance for visitors and employees accessing shop floor areas.
  • Maintain inventory of safety equipment, first-aid supplies, and emergency materials.
  • Coordinate laundering, cleaning, and replacement of safety vests.
  • Assist with safety rosters, signage, and emergency preparedness updates.
  • May participate on Safety committee.

Qualifications & Experience

  • High school diploma or equivalent.
  • 3+ years of administrative or receptionist experience.
  • Interest in developing human resources knowledge and skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite.
  • Professional demeanor with excellent customer service skills and a hospitality mindset.
  • Reliable team player who thrives in a multitasking environment.

Physical Demands (Essential Functions)

  • Primarily office‑based with some interaction on the manufacturing floor.
  • Ability to stand, walk, bend, reach or otherwise move about.
  • Ability to sit or stand and work at a desk or workstation for extended periods.
  • Ability to use a computer, keyboard, mouse, and phone for prolonged periods of time.
  • Ability to read information on screens and documents and to communicate verbally and in writing.
  • Ability to lift, move or transfer items up to 20 pounds.
