Serve as the firm's primary Filevine administrator: configure the system, manage integrations, optimize workflows, lead rollouts and change management, provide training and technical support, and maintain documentation and onboarding/offboarding processes.
We are seeking a skilled and motivated Filevine Database Administrator to serve as the firm’s internal expert and primary administrator for Filevine, our enterprise case management platform, and its integrated systems. This is a high-visibility role spans legal operations, IT, and organizational change management. You will partner with the IT Director and practice group leaders to optimize how our attorneys and staff use technology to serve clients, with firm-wide impact.
KEY RESPONSIBILITIES
System Administration & Configuration
- Serve as the firm’s primary Filevine administrator, managing all system configurations, workflows, custom fields, user permissions, and access controls
- Design and maintain document templates, task flows, and deadline tracking aligned with firm-wide operational standards
- Manage user licensing and oversee onboarding and offboarding workflows to maintain data integrity through personnel transitions
Integrations & Vendor Collaboration
- Coordinate and manage integrations with third-party vendors, serving as the primary point of contact for integration support and escalations
- Collaborate with system developers to resolve complex technical issues and evaluate new integration opportunities
- Stay current on Filevine product releases and coordinate user implementation of new features and updates
- Evaluating, implementing and managing integrations with third-party vendors in accordance with firm’s needs
Process Improvement & Platform Optimization
- Systematically evaluate existing workflows to identify inefficiencies and recommend solutions aligned with the firm’s operational objectives
- Lead firm-wide system rollouts and change management initiatives to drive adoption and maximize platform performance
Training, Support & Documentation
- Provide hands-on training for new and existing employees across Filevine and dependent systems
- Develop and maintain comprehensive training materials, reference guides, and self-service resources
- Serve as the primary technical support resource for users, resolving issues efficiently and escalating when appropriate
POSITION REQUIREMENTS
Required
- Hands-on administrative experience with Filevine or a comparable enterprise legal case management platform
- Experience managing system integrations and end-to-end process automation
- Strong project management and organizational skills with the ability to lead cross-functional initiatives
- Outstanding written and verbal communication skills; able to translate technical concepts for non-technical audiences and lead effective training sessions
- Analytical problem-solver with the ability to synthesize data, identify root causes, and implement practical solutions
- Self-starter who thrives in a fast-paced environment and is comfortable adapting to evolving priorities
Preferred
- Prior experience in a law firm, legal department, or paralegal role
- Detailed understanding of legal workflows and high-level client service standards
- Familiarity with workflow automation platforms and e-signature solutions
- Background in change management, user adoption, or organizational training
