Manage customer projects from quote through delivery: oversee orders, quotations, pricing, schedules, shipments, and disputes. Coordinate cross-functional teams, lead production meetings, maintain contract pricing, resolve escalations, report operational data, and support continuous improvement to meet customer and branch goals.
Position Summary:
Serve as the primary point of contact for assigned customers by managing the quote and order process from initial request through final delivery. This role is responsible for coordinating with internal departments and external partners to ensure customer projects are completed accurately, on time, and in accordance with company standards. The position plays a key role in delivering exceptional customer service while supporting operational efficiency and branch profitability.
Responsibilities:- Oversee open orders, quotations, returns, claims, pricing discrepancies, expedited orders, material substitutions, and other order-related issues.
- Coordinate with internal departments and external contacts to facilitate all phases of assigned customer projects.
- Monitor project progress and proactively communicate updates to customers and internal stakeholders.
- Prepare and manage customer quotations, including stock material, loose material, fabrication, and other value-added services.
- Determine pricing components such as margins, freight costs, pipe costs, and other financial considerations using established pricing strategies.
- Maintain and administer customer contract pricing and ensure pricing accuracy across all transactions.
- Follow up on outstanding and lost quotations to maximize sales opportunities.
- Lead daily production meetings by developing production and load schedules.
- Review open backorders, expected receipts, production priorities, and truck schedules with facility management.
- Coordinate product shipments to meet customer delivery requirements while optimizing transportation costs.
- Negotiate material delivery deadlines with customers and suppliers as needed.
- Serve as the primary customer contact for assigned accounts, providing responsive and professional service.
- Support Customer Service Representatives by assisting with complex customer issues, inquiries, and order management.
- Resolve escalated customer concerns through effective communication and cross-functional collaboration.
- Ensure customers receive timely updates and solutions throughout the order lifecycle.
- Identify process strengths, opportunities, and service deficiencies that impact customer satisfaction and branch profitability.
- Collect, analyze, and report operational data to the Branch Manager, Regional Operations Manager, and other leaders as assigned.
- Communicate company initiatives and operational directives to appropriate departments to improve service levels and overall efficiency.
- Participate in meetings and collaborate across departments to support continuous improvement efforts.

- Experience with order processing, quoting, scheduling, pricing, and contract management preferred.
- Proficiency with ERP systems, Microsoft Office, and other business software.
EXPERIENCE:
- Minimum 2-yr degree in a technical field or 4-5 years previous experience in industry required.
- Minimum 2 years project management experience required.
- Minimum 2 years experience in a customer service/order entry role required. Experience with JDE, Hydralist, and other Viking systems preferred. Fabrication listing experience preferred.
