About the role

We are looking for an Executive Coordinator to provide office management and executive support for our Castle Rock office. This role combines front desk responsibilities, office management duties, and administrative support for leadership teams. The ideal candidate will be highly organized, proactive, professional, and personable, with a strong sense of ownership and attention to detail.


This individual naturally anticipates needs, identifies what requires attention, and takes action independently. Success in this role requires discretion, initiative and the ability to learn leadership preferences. This position will be onsite and report to the Chief Accounting Officer.

Essential Functions

  • Serve as the primary point of contact for employees, external guests, and building management.
  • Maintain inventory of office supplies, snacks, and coordinate replenishment as needed.
  • Coordinate with building management, vendors, and service providers.
  • Track office-related projects and ensure timelines, vendors, and deliverables stay on schedule.
  • Provide calendar and scheduling assistance for members of leadership.
  • Oversee the general tidiness and organization of the office, breakroom, shared workspaces and common areas.
  • Coordinate incoming and outgoing mail/deliveries.
  • Order and coordinate team meals, meetings and special office events.
  • Prepare and format documents, reports, agendas, and meeting materials.
  • Support travel arrangements and expense reporting.

Knowledge, Skills, and Abilities

  • Strong communication skills.
  • Highly organized with strong attention to detail.
  • Ability to multitask, prioritize, and manage time effectively.
  • Eagerness to help with strong customer service skills.
  • Proven ability to manage multiple priorities simultaneously and anticipate office needs before they arise.

Education and Experience 

  • 1-3 years in reception, office administration, administrative assistance, or related roles.
  • Proficiency with common office software (Microsoft Office, Outlook).

Compensation and Benefits 

  • $65,000 - $90,000 base salary range, commensurate with experience.
