Role Description

Dropbox is seeking a detail-oriented and highly resourceful Executive Business Partner (EBP) to support VPs within the CTO organization. Our Admins are the glue that holds everything together — from complex calendaring and travel to organizational leadership and team support. In this role, you will have the opportunity to participate in a wide variety of confidential, operational, and strategic tasks that directly impact the success of our teams and leadership.

The ideal candidate is humble, proactive, and skilled at building strong relationships with internal stakeholders and external contacts. You thrive in a fast-paced, ever-changing environment, and know how to tame chaos while remaining calm, flexible, and approachable. If you enjoy balancing high-level strategic partnership with detail-oriented execution, this is the role for you.

Responsibilities

Executive Support & Calendar Management

  • Strategically manage complex calendars in a rapidly changing environment, ensuring alignment with organizational priorities.
  • Coordinate seamlessly with other executives, assistants, and senior leaders to balance competing demands.
  • Protect time and anticipate scheduling conflicts while ensuring availability for critical meetings.

Travel & Event Coordination

  • Arrange domestic and international travel, including itineraries and logistics.
  • Plan and execute on-site and off-site meetings, events, and team gatherings.

Operational Leadership & Collaboration

  • Serve as the face of Dropbox on behalf of your VP, building strong, trust-based relationships with both internal and external stakeholders.
  • Partner with other admins to ensure effective leadership coverage, alignment, and consistency across the broader org.
  • Coordinate and track special projects, initiatives, and cross-functional priorities.

Administrative Excellence

  • Prepare and reconcile monthly expense reports with accuracy.
  • Handle sensitive and confidential information with discretion.
  • Provide career development and mentorship support to fellow admins, as needed.
Requirements
  • Bachelor’s Degree (or equivalent field experience).
  • 5+ years’ experience in an executive or administrative support role, preferably supporting senior leaders.
  • Proven ability to manage heavy calendaring for multiple leaders and support their teams.
  • Demonstrated ability to juggle multiple projects and shifting priorities in an organized, detail-oriented way.
  • Strong decision-making skills with the ability to act quickly and independently.
  • Excellent communication skills, with the ability to collaborate across a wide spectrum of personalities and stakeholders.
Proficiency with Google Workspace (Calendar, Docs, Sheets, Gmail).
  • Ability to maintain composure, professionalism, and a sense of humor in high-pressure situations.
  • Track record of being proactive, resourceful, and consistently going above and beyond.
  • Event planning expertise.
Preferred Qualifications
  • Experience working in the tech industry.
  • Familiarity supporting engineering leadership teams.
  • Exposure to project or program management responsibilities.
