Our client is looking for a highly organized and proactive Full-Time Executive Assistant to provide dedicated support to a senior leader. The company is a distinguished player in the Canadian legal services sector, recognized for its significant growth and industry accolades in recent years.

Responsibilities

  • Meticulously manage and prioritize a high-volume executive calendar, including scheduling appointments, meetings, and deadlines.

  • Act as the primary gatekeeper, handling all incoming communications and ensuring prompt and professional responses.

  • Coordinate complex domestic travel arrangements and meticulously prepare agendas and materials for meetings.

  • Maintain an efficient and organized digital filing system for critical documents and client records.

  • (Bonus) Assist with the preparation and proofreading of standard legal documents under direction.

  • (Bonus) Support the client intake process and help maintain positive, professional client relationships.



Requirements
  • Proven experience as an Executive Assistant or similar role, supporting C-level executives.

  • Exceptional ability to manage a high-volume inbox (80-90 emails daily) and a complex, dynamic calendar.

  • Superior written and verbal communication skills with a professional and discreet demeanor.

  • Impeccable organizational skills and a keen eye for detail.

  • Proficiency in common office software suites (e.g., Microsoft Office, Google Workspace).

  • A demonstrated interest in or aptitude for the legal field is a significant advantage.

Qualifications

  • A minimum of 3+ years of experience in an executive support capacity.

  • Experience within a professional services environment (e.g., law, finance, consulting) is highly desirable.

  • A relevant diploma or certification in business administration or a related field is preferred.
