The Remote Executive Assistant provides high-level administrative and operational support to senior leadership. This role is responsible for managing schedules, coordinating communications, organizing documentation, and assisting with various administrative tasks to ensure the executive team operates efficiently.

The ideal candidate is highly organized, detail-oriented, proactive, and able to manage confidential information while working independently in a remote environment.

Key Responsibilities

Executive Support

  • Provide direct administrative support to executives and senior leadership.
  • Manage executive calendars, schedule meetings, and coordinate appointments.
  • Prepare meeting agendas, presentations, and briefing materials.
  • Assist with preparing reports, correspondence, and documentation.

Communication Management

  • Manage incoming and outgoing communications including emails, calls, and messages.
  • Draft professional emails, letters, and internal communications on behalf of executives.
  • Act as a liaison between executives, staff, and external partners.
  • Maintain organized communication records.

Calendar & Scheduling

  • Coordinate internal and external meetings across multiple time zones.
  • Manage travel arrangements, itineraries, and reservations when required.
  • Ensure executives are properly prepared for meetings with necessary documents.

Administrative Coordination

  • Organize and maintain digital files, records, and confidential documents.
  • Monitor task deadlines and ensure follow-up on important matters.
  • Assist with project coordination and administrative planning.

Research & Reporting

  • Conduct research and compile information for executive decision-making.
  • Prepare summaries, reports, and briefing documents.
  • Assist with data entry and tracking of key business information.

Project Support

  • Assist executives in managing special projects and initiatives.
  • Track project progress and provide updates when necessary.
  • Coordinate with internal teams to gather required information.

Operational Support

  • Help streamline administrative processes.
  • Maintain internal documentation and operational procedures.
  • Assist with vendor communication and basic procurement coordination when necessary.

Required Qualifications

  • High school diploma or equivalent (Associate or Bachelor’s degree preferred).
  • Previous experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong multitasking and prioritization abilities.

Technical Skills

Experience with or ability to learn:

  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Google Workspace (Docs, Sheets, Calendar, Drive)
  • Project management tools (Asana, Trello, Monday.com)
  • Video conferencing platforms (Zoom, Microsoft Teams)
  • Cloud file management systems
