Your Mission

We’re looking for a high-impact Executive Assistant who has thrived alongside founders or senior leaders at fast-growing startups or scale-ups and is excited to help build a company in growth mode. You will act as a strategic extension of Mimica’s CEO, helping bring clarity to competing priorities, protect focus, and ensure that time is spent on what matters most as the company scales.

You’ll be a trusted partner who combines operational excellence with sound judgment, helping navigate a fast-moving company environment with confidence and discretion.

Part of your day-to-day
  • Own the CEO’s calendar, inbox, and scheduling with a prioritization-first mindset, not just execution.

  • Actively help assess urgency and importance across meetings, requests, and commitments, flagging trade-offs and recommending focus areas.

  • Coordinate internal and external meetings, travel, and logistics, ensuring seamless execution across time zones.

  • Anticipate needs ahead of time, preparing context, materials, and follow-ups to keep the CEO operating at a high level.

  • Partner closely with senior leaders to coordinate schedules, planning cycles, and sensitive communications.

  • Support ad hoc projects and initiatives that require discretion, judgment, and strong follow-through.

  • Adapt to evolving priorities as the company grows, maintaining structure without slowing momentum.

  • Partner on the planning and execution of key company and leadership events, including off-sites and SKOs.

  • Help design and improve internal administrative and communication systems to support effective collaboration across a fully remote leadership team.

What you will bring
  • Proven experience as an Executive Assistant supporting founders or C-level executives in startups or fast-growing companies.

  • Ability to act as a true partner to the CEO - helping prioritize, manage competing demands, and apply sound judgment, not just handle admin tasks.

  • Strong ownership of inbox, calendar, scheduling, and logistics, with a track record of keeping executives focused on the highest-impact work.

  • Comfort working across time zones and adapting to the pace and change of a scaling startup environment.

  • Excellent organizational and time management skills, with the ability to juggle multiple priorities.

  • Clear, professional communication skills, written and verbal.

  • Ability to work independently, anticipate needs, and follow through.

  • High level of discretion and reliability when handling sensitive information.

  • Experience in improving internal processes and ways of working is a plus.
