Role Overview:

We are seeking a highly organized and proactive Executive Assistant on a temporary, full-time basis to provide strategic administrative support to our CEO, and potentially other senior leaders and board executives. This role will be pivotal in managing high-level external communications, coordinating complex travel, and planning executive offsites to ensure seamless operations and alignment at the highest levels of the organization.

Primary Responsibilities:

  • Executive Scheduling & External Coordination: Own and manage the CEO’s external calendar, including scheduling meetings with partners, investors, advisors, and other key stakeholders. Provide similar support to other senior executives and board members as needed.

  • Travel Planning & Logistics: Coordinate domestic and international travel for the CEO and other senior leaders, including flights, accommodations, ground transportation, and detailed itineraries.

  • Board & Stakeholder Engagement Support: Facilitate smooth communication and coordination with board members and other external partners, ensuring materials and meetings are timely, well-prepared, and professionally executed.

  • Oversee Company-Wide Event Coordination: coordinate and lead planning sessions and drive execution of company-wide events and asynchronous activities, including all-hands and engagement initiatives.

  • Event & Offsite Planning: Plan and execute leadership offsites and executive events, managing everything from venue selection and agenda coordination to on-site logistics and follow-up.

Requirements:

  • 5+ years of experience in an Executive Assistant or high-level administrative role supporting C-suite executives

  • Strong calendar management and scheduling expertise across multiple time zones

  • Proven experience coordinating complex travel logistics

  • Event planning experience, including offsites or executive meetings

  • Excellent written and verbal communication skills

  • Highly proactive, detail-oriented, and capable of handling confidential information with discretion

  • Ability to thrive in a fast-paced, dynamic environment with shifting priorities

What We Offer

Compensation:

The hourly rate for this position ranges from $40.00 - $60.00. Our compensation market ranges are determined by role, level, and location. The range provided reflects the target cash compensation for new hires in major metropolitan areas. Actual compensation will vary based on the candidate’s specific location, skills, experience, and capabilities, as well as internal benchmarking.
