Job Summary
GoldBug is seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level support to the CEO. This trusted individual will play a critical role in managing the CEO's day-to-day operations, optimizing time and priorities, and ensuring seamless coordination across business and personal commitments. The role also oversees office operations, facilities, vendors, and workplace administration to support a productive and engaging employee experience.
Key Roles and Responsibilities
- Manage the CEO's calendar, travel, and correspondence, proactively addressing scheduling and competing priorities.
- Serve as a liaison between the CEO and internal/external stakeholders.
- Coordinate Board of Directors meetings, including scheduling, agenda preparation, and distribution of meeting materials.
- Oversee office operations, vendor relationships, office supplies, workplace services, and employee-facing administrative functions to ensure smooth day-to-day operations.
- Support special projects and administrative initiatives as assigned by the CEO.
- Maintain confidentiality while handling sensitive business and personal information.
The Ideal Candidate
- 3+ years of experience supporting senior executives, preferably at the C-suite level.
- Exceptional organizational, prioritization, and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to exercise discretion and handle highly confidential information.
- Self-motivated with strong attention to detail and follow-through.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Comfortable managing occasional personal administrative responsibilities.
