Provides executive and project administration support, coordinates travel and events, develops marketing and newsletter content, communicates with clients and vendors, tracks project materials and procurement, and assists with accounting tasks such as accounts payable, accounts receivable, and reconciliations. The role is part-time, primarily office-based with an eventual hybrid arrangement, and requires flexibility for occasional events and irregular hours.
Atlas OT is looking for an organized, proactive Executive Assistant & Project Support Specialist to join our growing team on a part-time basis. You will support the executive team with day-to-day tasks and long-term goals, develop marketing materials, help facilitate the sales process, and keep project materials moving. This is a part-time, hourly role of about 20 hours per week, with room to grow as the business scales.
This role wears many hats. We are looking for a can-do, proactive, problem-solving thinker with a track record of learning quickly. Candidates with project support or accounting experience are especially welcome, and we value broad business experience (such as sales, CRM, recruiting, HR, people coordination or event support) that shows you can be taught and will grow with us.
Work is primarily completed in an office setting and eventually as a hybrid position. This could include on-location work, running errands and occasionally working remotely. Available primarily during standard business hours, though the role may require the occasional early morning, late evening or weekend around key events. Flexible work hours can be accommodated.
Key Responsibilities
- Provide executive and project administration support
- Coordinate travel arrangements for employees and contractors
- Support marketing efforts, including social media content (Canva), the industry events calendar, newsletter and technical writing content
- Attend events: booth setup and tear down, ordering swag, handing out materials and tracking contacts
- Call and email clients and vendors, and set appointments
- Plan events, including monthly Lunch and Learns, expos and conferences
- Provide procurement and project support: order and track project materials and equipment, follow up with vendors on lead times and delivery, and keep project teams informed of status
- Provide backup accounting support, including A/R, A/P and reconciliations
- Other activities as identified to support staff
