About the Role:
We are looking to add to our team an energetic and detail-oriented Executive Assistant to provide administrative support to our RevOps and GTM Partnerships leaders within the GTM Team. The GTM Team encompasses marketing, sales, partnerships, and revenue operations teams across San Francisco, Denver, and New York.
The Executive Operations team at Gusto is the heart of our company’s business operations and activities and the soul that keeps our organization moving forward. They anticipate the needs of their leaders and help them stay focused on vital priorities by resolving operational and administrative issues before they arise. They move quickly with the changing environment and are up to date with the latest Gusto products and services and have a deep passion for the small business customers we serve. They also use that knowledge to strategically support their team's projects. In addition to being organized and analytical, they possess the strong business judgment and communication skills needed to interact with a variety of people and job functions.

Here’s what you’ll do day-to-day:
- Administrative Excellence:
- Calendar & Travel: Manage complex calendars and coordinate travel arrangements, securing ground and air travel, booking hotels, and coordinating detailed itineraries with initial guidance
- Meetings: Assist with departmental meetings by taking detailed notes, tracking action items, and following up on next steps
- Communications: Support inbox management and help prioritize responses to ensure timely communication with partners, employees, and key stakeholders
- Events: Support coordination of team events such as booking meeting spaces, organizing meals and/or activities, and logistics coordination
- Cross-functional Coordination & Stakeholder Management:
- Work closely with RevOps and Partnerships teams, providing structured support and clear communication to keep projects on track
- Partner with dynamic, fast-moving teams to establish clear processes, timelines, and expectations while maintaining positive working relationships
- Help coordinate with external parties and manage vendor relationships with the Partnerships teamGrowth Into Strategic Partnership:
- Growth Into Strategic Partnership:
- Project Management: Build project management capabilities by initially supporting project tracking and coordination, with opportunity to lead special initiatives for these teams
- Event Planning: Develop skills in event planning and execution, progressing from coordination to ownership of RevOps and Partnerships team events and onsites
- Innovation: Evolve into process improvement and innovation, identifying opportunities to streamline operations and introduce new tools/systems for these dynamic teams
- Professional Growth & Team Collaboration:
- Maintain and facilitate partnerships with other Executive Operations members within GTM and across Gusto
- Be a cultural ambassador, maintaining a strong pulse on life and relationships within your teams and across Gusto
- Demonstrate reliability, approachability, and willingness to learn and take on new challenges
- Help us scale growth, service, and the Gusto community as effectively and efficiently as possible, in a way we are proud of where everyone feels safe, welcome, and valued
Here’s what we're looking for:
- 2-4 years of administrative or coordinator experience, preferably supporting senior professionals
- Experience in a fast-paced, growing company environment (100+ employees) preferred
- Organized & Detail-Oriented: Ability to manage multiple tasks, maintain accurate records, and ensure nothing falls through the cracks
- Strong Communicator & Stakeholder Manager: Clear written and verbal communication skills; comfortable providing structure and accountability to demanding internal teams while maintaining collaborative relationships
- Diplomatically Assertive: Able to be appropriately firm and opinionated when needed to keep projects moving forward, especially with teams that require additional structure and clear communication to stay aligned
- Growth-Minded & Tech-Comfortable: Demonstrates curiosity and commitment to learning. Actively seeks ways to improve processes and develop new skills, including exploring AI tools and automation. Proficiency with Google Apps required
- Resilient Team Player: Positive attitude, stays calm under pressure, learns from challenges, and maintains complete confidentiality on all business matters
Our cash compensation amount for this role is between $87,000 - $100,000/year in Denver and most other major cities, and between $106,000 - $120,000/year for New York & San Francisco. Final offer amounts are determined by multiple factors including candidate location, experience and expertise and may vary from the amounts listed above.
Gusto has physical office spaces in Denver, San Francisco, and New York City. Employees who are based in those locations will be expected to work from the office on designated days approximately 2-3 days per week (or more depending on role). The same office expectations apply to all Symmetry roles, Gusto's subsidiary, whose physical office is in Scottsdale.
Note: The San Francisco office expectations encompass both the San Francisco and San Jose metro areas.
When approved to work from a location other than a Gusto office, a secure, reliable, and consistent internet connection is required.
