Job Title
Executive Assistant - ContractAs the EA, you will be responsible for providing professional administrative support to C-Level executives, coordinates complex schedules, manages priority projects, and will serve as a key point of contact between leadership and internal/external stakeholders.Role & Responsibilities:
- Manage and coordinate calendars for multiple managers or directors, prioritizing appointments and resolving scheduling conflicts.
- Support cross-department initiatives by tracking deliverables and facilitating communication.
- Arrange domestic and international travel, including flights, accommodations, itineraries, and meeting logistics.
- Oversee travel bookings and expense processing for assigned managers.
- Prepare, edit, and proofread correspondence, reports, and presentations, ensuring accuracy, formatting consistency, and brand compliance.
- Coordinate and support department projects, including scheduling, task tracking, and reporting progress to management.
- Serve as liaison between department leadership and other teams to ensure deadlines are met and communication flows effectively.
- Maintain department records, files, and databases; recommend process improvements to increase efficiency.
- Order and maintain office and breakroom supplies; manage vendor relationships for routine services.
- Manage department supply orders, including snacks, beverages, and office materials.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Coordinate logistics for meetings, conferences, and special events, including catering and AV setup.
- Welcome visitors, screen phone calls, and handle inquiries requiring detailed knowledge of department operations.
- Support onboarding of new team members by coordinating workspace setup, technology access, and orientation schedules.
- Ensure confidentiality in handling sensitive information.
- Perform other duties and special assignments as requested by leadership.
Job Requirements:
Education & Experience:
- High school diploma or GED required; Associate’s degree or equivalent preferred.
- Minimum four (4) years of administrative experience, with at least two (2) years supporting managers or directors.
Functional/Technical Knowledge, Skills & Abilities:
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat Pro.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to work independently and exercise sound judgment within established guidelines.
- Strong attention to detail with the ability to meet tight deadlines.
- Experience with purchasing and vendor coordination preferred.
Additional Details Specific to Role:
- Length of Contract: Approximate 4-months with potential to convert to full-time employment
