The Executive Administrative Partner serves as a trusted operational and relational extension of Servant’s leadership team, directly supporting the CEO (in personal capacity), Chief Operating Officer, and select Vice Presidents. This role is critical in enabling leaders to operate at their highest level by managing logistics, protecting focus, and ensuring seamless execution across calendars, communication, and travel.
This individual brings exceptional organization, discretion, and proactive problem-solving, paired with a heart for service and alignment with Servant’s mission and values.
Key ResponsibilitiesExecutive Support & Prioritization- Provide high-touch administrative support to the CEO (in personal capacity), COO and VPs
- Anticipate needs, remove friction, and ensure leaders are prepared, aligned, and focused on highest-impact work.
- Serve as a gatekeeper and strategic partner in managing time, priorities, and communication flow.
- Triage and flag high-priority emails across executive inboxes.
- Draft, send, and follow up on communications with clarity, professionalism, and alignment to Servant’s voice.
- Maintain “inbox zero” discipline and ensure timely, thoughtful responses.
- Escalate urgent or sensitive matters appropriately.
- Own and manage complex calendars.
- Coordinate internal and external meetings with precision and professionalism.
- Protect focus time and ensure alignment with strategic priorities.
- Navigate scheduling conflicts and shifting priorities with agility.
- Research, coordinate, and book travel (flights, accommodations, ground transportation).
- Build and maintain detailed travel itineraries aligned with executive schedules.
- Track preferences (airlines, seating, hotels, vendors) to optimize future bookings.
- Ensure seamless travel experiences, including contingency planning.
- Review, reconcile, and submit expense reports
- Ensure accuracy, timeliness, and alignment with Servant’s stewardship values.
- Partner with Operations for reporting, approvals, and monthly close processes.
- Coordinate personal scheduling needs (e.g., workouts, medical appointments, family logistics) as appropriate.
- Ensure personal commitments are seamlessly integrated into executive calendars.
- Support time logging and administrative tracking for applicable leaders.
- Ensure compliance with internal systems and reporting expectations.

RequirementsQualifications
- 5+ years of experience supporting senior executives in a fast-paced environment.
